Helping Senior Leaders Stay Aligned and Ahead

We're looking for a confident, solutions-oriented Executive Administrator to support multiple EVP and SVP leaders in our organization. This isn't your average admin role - you'll be the steady hand behind the scenes, ensuring the day runs smoothly, decisions are well-informed, and priorities stay on track.

You'll operate as a true business partner, not just managing calendars and logistics, but anticipating needs, coordinating high-priority meetings/events, and driving execution on critical initiatives. If you thrive in fast-paced environments, have a knack for connecting the dots, and bring polish and poise to everything you do, this role is built for you.

KEY RESPONSIBILITIES OF THIS ROLE INCLUDE:

Executive Support + Strategic Coordination

* Serve as an extension of the Executive suite, supporting 4-5 EVP and SVPs in daily operations and strategic initiatives.
* Drive alignment on key priorities by managing calendars, preparing agendas, and facilitating meeting outcomes.
* Manage domestic and international travel (both commercial and private), and oversee all logistics, documentation, and compliance.
* Support preparation and delivery of materials for executive leadership meetings, events, and companywide updates.
* Act as a liaison between the Executives and cross-functional leaders to ensure timely communication and decision-making.
* Effectively collaborate with other Executive Assistants and leaders to handle a high volume of inbound meeting requests and calendar arrangements.
* Proactively resolve scheduling conflicts and ensure all collaborators are advised of any changes, ensuring alignment with immediate priorities and business objectives.

Communication + Stakeholder Engagement

* Prepare polished, high-impact communications and presentations tailored for internal and external audiences, including companywide announcements, executive briefings, and more.
* Build strong relationships across departments and act as a trusted bridge between executives and internal/external stakeholders.
* Maintain discretion and confidentiality in all communications, often managing sensitive or confidential matters.

Project + Event Management

* Lead planning and execution for executive-level and companywide events; negotiating rates, booking travel, managing venues, coordinating agendas, and troubleshooting in real-time.
* Oversee and manage special projects with clear accountability for outcomes, timelines, and executive reporting.
* Coordinate and manage the production and delivery of corporate gifts, branded materials, and meeting collateral.

Operational Excellence

* Process purchase orders (POs), coordinate expenses, and ensure compliance with corporate administrative procedures.
* Maintain and update key systems and platforms including Microsoft Office 365, Concur, Diligent, Adobe, and other collaboration tools.
* Operate comfortably across digital platforms including Zoom, Teams; manage meeting logistics and platform setup for hybrid teams.
* Organize and structure information for maximum efficiency and clarity, ensuring executive readiness at all times.

SKILLS + EXPERIENCE:

* 5+ years in an executive administrative role, supporting and communicating with executives in a medium to large fast paced, growing company
* Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
* Highly organized with a sharp eye for detail and strong critical thinking skills.
* Experience with high volume travel scheduling (commercial + private) with patience and speed to pivot on demand, when needed
* Strategic and tactical problem solver with a sense of urgency and initiative.
* Outstanding attention to detail, able to track high volumes of data with MS Office; including Microsoft Teams and Co-Pilot, with Internet proficiency and knowledge of web-based applications
* Able to efficiently prioritize with business and executive needs and used to maintaining confidentiality of highly sensitive information
* Experience in managing budgets and expenses for your executives
