Executive Assistant to the CEO Opportunity -

HRI Hospital is seeking an experienced Executive Assistant to the CEO for this 66 bed facility. The Executive Assistant to the CEO performs varied, complex, and confidential administrative, secretarial, and office support tasks in support of the CEO and Senior Management Team. Often acts as initial contact for hospital administration. The work requires the frequent use of tact, discretion, independent judgment, knowledge of HRI Hospital policies and procedures, and the ability to conduct independent projects.

HRI Hospital is 66-bed psychiatric facility with adult inpatient services and several partial hospitalization programs. Responsibilities

  • Serves as administrative "troubleshooter" and liaison to all levels of hospital staff. Provides appropriate problem resolution and/or coordinates communication with internal and corporate staff. Follows-up to ensure resolution.
  • Exercises independent judgment and initiative when responding to routine internal and external inquiries, orally, or in writing by email, or otherwise.
  • Manages time so as to be effectively responsive to the daily needs of the Executive Office.
  • Administers Hospital Policy & Procedure System, PolicyStat, appropriately handling distribution of new/revised policies to hospital staff, as well as ensuring policies are kept updated in the system.
  • Maintains Outlook Calendar for the CEO keeping them apprised of their activities on a day-to-day basis.
  • Assists CEO w/mileage reimbursement and other expenses via the Concur system.
  • Plans, organizes, implements and demonstrates initiative in the handling of assigned projects and completes them in a timely fashion.
  • Arranges and/or assists in arranging and coordinating hospital events, trainings, and/or social functions.
  • Administers Administrator on Call schedule, as well as scheduling committee meetings and hospital events to keep staff apprised of events as well as available meeting space.
  • In accordance with UHS Risk Management Guidelines, maintains Hospital and Clinical Contracts and School Agreements, ensuring insurance certificates are in place and current; confidentiality clauses are signed or included as part of contracts; ensures that contracts are kept current, organized and easily accessible. Maintains Vendor/Contractor/Student Intern Signed Confidentiality Agreements.
  • Responsible for coordinating all aspects of the credentialing process for medical staff and allied health professionals, and maintains files in accordance with DMH and TJC standards. Coordinates Credentials Committee meetings, producing meeting materials and taking minutes. Meetings are coordinated as needed in keeping with practitioner's reappointment periods so that privileges don't expire. Ensures all materials are in order before the credentialing process begins for newly appointed and reappointed practitioners.
  • Completes initial Medicare Application and reassignment of Medicare Benefits Application for newly hired Physicians, Nurse Practitioners and other Allied Health Professionals.
  • Receives and processes verification requests from other healthcare facilities.
  • Provides general administrative support to the Medical Director and physicians to include drafting correspondence, coordinating meetings, maintaining PTO schedules and other support activities as requested.
  • Responsible for scheduling the evening/weekend/daytime Psychiatry & Doctor-on-Call Schedule. Maintains these schedules for reference.
  • Supports Governing Board communications. Responsible for all minutes, gathering information and compiling reports and keeping documentation in compliance with TJC standards.
  • Serves as back up for Tele-health court sessions.
  • Supports Director of Plant Operations in maintaining all Environment of Care documentation in compliance with TJC.
  • Ensures daily and weekly DMH reporting requirements are submitted on time.
  • Attend, record, and transcribe minutes for the following meetings: Sr. Operations, Department Head, EOC, Quality Council, Medical Executive, Governing Board, Town Hall, Service Excellence and others as requested. Ensure minutes are prepared in conformity with regulatory agency requirements; monitor follow through on action plans.

Qualifications

Requirements

  • Education: High school diploma required, bachelor's degree preferred.
  • Experience: Three years of experience as administrative support to at the director level or above.
  • Skills: Strong communication and team player skills; Time management and attention to detail skills; Knowledge and experience with Microsoft Office Suite; Expertise in psychiatric and addiction disorders; and Experience maintaining confidentiality in accordance with HIPPA and hospital policy
  • Experience in a healthcare or hospital setting preferred
