College of Community Innovation and Education Dean's Office - Academic Affairs:

The UCF College of Community Innovation and Education brings together academic programs, centers and institutes focused on building stronger communities and elevating the human experience. The Opportunity:

The UCF College of Community Innovation and Education Dean's Office is currently accepting applications for an Administrative Assistant I. This position reports to the Associate Dean for Academic Affairs and has a dual reporting relationship to the Associate Dean for Research in the College of Community Innovation and Education. This position will manage projects, initiatives, meetings and administrative tasks.

Responsibilities:


  • Supports the successful planning, execution, monitoring, and closing of focused projects and events promoting academic and administrative success planning and implementation events throughout the year.

  • Handles duties expeditiously and follows through on projects to successful completion.

  • Follows and helps develop a standard operating procedure for projects, events, new initiatives, and meetings to ensure consistent and streamlined processes from year to year.

  • Assists the scholarship manager with the scholarship cycles for UCF Foundation Scholarships. Tasks may include work in A2O database, marketing, scholarship reviews, and preparation through all scholarship cycles throughout the year.

  • Supports the Associate Dean of Academic Affairs and the Associate Dean of Research/Innovation in the coordination and execution of standing meetings, internal and external.

  • Organizes meetings with internal and external personnel, partners, and organizations.

  • Assists with collecting and organizing data for the Associate Dean of Academic Affairs and initiates applicable research, inquiry, or investigation as authorized by the Associate Dean of Academic Affairs.

  • Helps to maintain databases and summary tables to be used in the Academic Affairs Office, by the Research Administration Services Team, and CCIE.

  • Assures accuracy of all items submitted for the Associate Dean of Academic Affairs and Associate Dean of Research and Innovation, as well as proper handling and follow-up of such items.

  • Coordinates with unit leaders, faculty, administrative assistants to coordinate meetings, outgoing communication, space planning needs, and special projects to increase the professional effectiveness and efficiency of the supported senior management.

  • Supports the research space on the main campus and DPAC.

  • Maintains schedule, occupants, move in/move out, and IT needs.

  • Assists in the preparation of annual reports, presentation materials, and special reports for the Office of Academic Affairs and Research Administration Services Team.

  • Provides administrative support to the Associate Dean of Academic Affairs.

  • Other duties as assigned.


Minimum Qualifications:

High School Diploma or Equivalent and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • 1+ years professional office experience, preferably in support of executives or senior leadership.

  • Proven ability to manage multiple projects and priorities simultaneously with accuracy and efficiency.

  • Excellent written communication and grammar skills, with the ability to draft professional correspondence, reports, and presentation materials.

  • Proficient in learning and using new platforms and databases (e.g., A2O scholarship system or similar tools), and in developing or maintaining standard operating procedures (SOPs).

  • Self-starter with a go-getter attitude who takes initiative, solves problems independently, and requires minimal supervision.
