Job Summary

Working as a White & Case Conference Aide will allow you the opportunity to work with GREAT people like yourself! You will be surrounded by people who are passionate about what they do and share in our belief in the quality value of delivering superior hospitality to our premier client.

The White & Case Conference Aide is responsible for the set-up of the conference center and the practice floor conference rooms the day prior to events and for the servicing and re-setting of meeting rooms throughout the day as needed. This includes ensuring that all such spaces are clean and properly stocked with required equipment and supplies. The White & Case Conference Aide is responsible for making sure that the conference center meeting rooms and public areas maintain a professional appearance at all times.

Responsibilities:

  • Set up furniture according to what is requested for each meeting
  • Wipe down/clean all tables and chairs
  • Supply and set up items not included in rooms (pads, pencils, name tents) as requested
  • Check that phones are sanitized and in working condition.
  • Re-set rooms between meetings
  • Work with the in house Wait Staff to make sure all catering tables for services are provided in advance of catering start time
  • Report all damages to Conference Center Management (chipped paint, broken doors, carpet stains etc.)
  • Make sure meeting room trash was removed and carpets were vacuumed the previous night
  • Check, clean and replenish restroom supplies as needed.
  • Collect documents remaining after meetings, checking with the Concierge Ambassadors whether they are to be returned or shredded
  • Notify Concierge if any meetings are running late, so that they may relocate the following meetings
  • Assist with special events, both on-site and offsite
  • Coordinate moving unused tables and chairs to various storage areas throughout the day
  • Ensure walk-throughs of the conference rooms and event space are done daily

Qualifications:

  • Excellent organizational skills, with the ability to prioritize tasks and juggle many tasks simultaneously
  • Excellent oral skills
  • Ability to read and process banquet event orders/protocols
  • Ability to work calmly and effectively in stressful situations
  • Exceptional client service skills to exceed expectations
  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details
  • Discreet, ethical and committed to maintaining a high degree of confidentiality
  • Excelling as a team member, with a passion for delivering Rapport/Flik standards of service
  • Maintaining a consistently professional approach, with a willingness to take ownership and responsibility both within and outside one's job domain
  • 1 year hospitality service in a hotel, conference center or corporate environment. A genuine sense of hospitality, with a commitment to delivering the Platinum Service Standard in all aspects of the position.

Experience:

  • Requires a minimum of two years' experience in hospitality services including reception, conference, event planning, five star hotels, airline industry, and concierge experience preferred.
