Organizational Unit Overview
The Office of the Registrar is responsible for the integrity of student records for the university, the planning and execution of registration of students each semester, assignment of classroom space for classes and meetings, issuing grades, issuing transcripts, certification of degree requirements for students, mailing diplomas to graduates, and maintenance of a computerized student database.
Job Duties
85% - Processing Transcripts Requests
This position is responsible for processing all requests for official academic transcripts. Requests may be made via mail, fax, in person or online. This position maintains both online ordering systems and processes requests entered online.

This individual is expected to work independently with minimal supervision. The expectation is that the individual holding this position will perform these tasks and determine the flow of the work in the Transcript Office so that relatively little internal supervision or review is required.

This position is responsible for gathering and sending course descriptions as requested by students, alumni and others. This position also pulls hard copy records as necessary for transcript requests. Verifying and converting student record information in Banner.

As a function of the location of this position, the incumbent will also serve as a back-up for Enrollment Verification staff. In their absence, this position will assist customers with verification requests.
Maintain and organize paper student records, microfilm, and paper versions of ECU catalogs. Maintain and organize paper copies of archived grade sheets and graduation lists. Coordinate scanning of paper student records and archived records into Xtender. This will include creating scanning schedules via Teams, training for team members, and organizing items to be scanned. Check for quality assurance of scanned items on a day-to-day basis. Pull records and submit pages for quarterly Xtender quality assurance review.
This position will also be responsible for the quarterly Xtender Quality Assurance Reviews. The review requires the individual to run a query of all scanned items during the quarter and pull the necessary percentage of documents for review. This information is then given to the Records Manager for review.

10% - Public Contact
The public contact this position has is very critical and demanding. The contact requires this person to be personable, informative, pleasant and courteous while maintaining security as required by the Family Educational Rights and Privacy Act of 1974 and policies and procedures of the University and the Office of the Registrar. There is daily personal and telephone contact with students, faculty, staff, alumni, school deans/departmental chairs, and walk-ins requesting transcripts. Incoming calls received by this office usually are in reference to transcript requests previously sent or immediate transcript requests. Will assist with questions regarding the information displayed on the transcript. Position will also verify and enter coursework from hard copy transcripts into Banner.

5% - Office Equipment Operations
Computer, adding machine, copier, fax machine, printer, scanner. Maintaining and updating scanners and microfilm machine for record retention.
