What this job involves -

We are seeking a detail-oriented and customer-focused Office Services Assistant to serve as the primary point of contact for integrated facility management (IFM) and office services at our site. Must have knowledge of building systems and facilities to include: HVAC, plumbing, electrical. The ideal candidate should have billing experience and be able to perform accounting functions like coding invoices and working with a purchase order system.

They should also maintain a professional demeanor while managing multiple priorities and providing exceptional service to internal clients.

Your day to day:

  • Serve as the primary point of contact for all IFM and office services at the site
  • Assist with meeting and special event setup to support clients and/or hospitality teams
  • Ensure coffee and pantry areas remain stocked and in good working condition
  • Provide troubleshooting support for conference room booking systems and AV technology
  • Coordinate onsite facility repair and maintenance activities
  • Troubleshoot minor repairs and maintenance issues
  • Respond to work orders using client's Service Now platform
  • Support occupancy reporting initiatives
  • Support client and JLL compliance programs at the site, including emergency response and implementation of client's building access protocol
  • Communicate effectively as a liaison between client and management
  • Maintain office supply inventory and ensure timely replenishment
  • Oversee copy room equipment functionality and supply inventory
  • Manage mailroom operations, including sorting and distributing mail and packages
  • Support financial reporting through invoice coding and other tasks as needed

  • Ability to maintain professionalism consistently, especially in stressful situations
  • Demonstrated ability to plan and manage work under time constraints
  • Strong multitasking skills with ability to work effectively without direct supervision
  • Excellent organizational skills and collaborative work style
