Primary Purpose of Organizational Unit |
Founded in 1950, our Department of Maternal and Child Health is one of the world's leading academic departments for research, teaching and practice. We are dedicated to improving the health of women, children and families - domestically and globally. Our teaching program provides students with broad exposure to maternal and child health population needs and priorities, as well as with the skills to become leaders of tomorrow. Currently the department has 31 faculty members, 20 of whom have primary appointments in Maternal and Child Health (
MCH). Complementing these faculty are four emeritus members, and more than 65 adjunct faculty, many of whom hold leadership positions in
MCH research and practice settings. Given the interdisciplinary nature of our department, faculty and staff research interests and activities span the full array of issues and areas of focus for the maternal and child health population. Our initiatives are designed to create new knowledge and directly improve the health of this population. |
Position Summary |
The Executive Assistant supports the department chair for Maternal Child Health. This position is responsible for heavy scheduling for the Chair and groups both internal and external to the department and
UNC; it also is responsible for a significant communications role, responding to various parties on behalf of the Chair; working with the department Chair to manage their email account, travel arrangements and expense reports, and sharing responsibility for the department communications (eg website and alumni relations); drafting and editing various confidential and sensitive correspondence; gathering information and data; and monitoring communications to keep the Chair informed promptly of relevant issues as they may affect the responsibilities of the Chair position; developing and implementing organization and project management for the Chair's office and department level policies and procedures; Coordinate and manage the overall
APT process, ensuring timely awareness of appointments and reappointments needed, and compliance with institutional policies and procedures. The position oversees the day-to-day functions of the Chair's Office including planning for guests and events. Time management is key to the fast-paced EA role in maintaining balance of numerous duties and accomplishing work accurately and quickly, ensuring that efforts are well spent. Some considerations are prioritizing tasks to stay focused, breaking down large projects into more manageable smaller steps, setting realistic deadlines, and reviewing tasks for priority and urgency and adjusting regularly to meet goals. |
Minimum Education and Experience Requirements |
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
Required Qualifications, Competencies, and Experience |
Must possess high functioning skillsets with software programs and project management tools such as Microsoft Office 365 (particularly with Outlook Calendar, Word, Teams, Planner), Zoom, Adobe Acrobat, Generative AI (ChatGPT/Claude/Gemini), Qualtrics survey software. |
Preferred Qualifications, Competencies, and Experience |
Working knowledge of
UNC systems, or equivalent academic/profession system, such as Concur, ConnectCarolina, and appointment, promotion, and tenure policies. |
