Job Summary

The Manager, Executive Support/EA to the CEO works under minimal supervision in a dual capacity role, supporting the Chief Executive Officer by preparing communications, conducting research, creating reports, handling confidential requests and information, planning and organizing meetings, managing calendars, travel and expenses as well managing Executive and Administrative Assistants. This is a highly visible position requiring the ability to build and maintain professional relationships throughout all levels of the company.

Duties & Responsibilities



  • Provide confidential executive support to the CEO, ensuring seamless coordination of all daily activities.
  • Manage the CEO's complex and ever-evolving calendar, including international travel arrangements and high-level meetings.
  • Manage complicated schedule including arranging meetings and calls for CEO with other executives, customers, partners and the like, utilize sound judgment in managing priorities and urgency.
  • Prepare the CEO's correspondence based on a general outline of points and prepare PowerPoint and other presentations as needed.
  • Act as the gatekeeper for the CEO, screening emails, calls, and requests while prioritizing urgent matters.
  • Support the organization and communication of Masimo's global Town Halls-both virtual and in-person-aligned with company-wide messaging and initiatives.
  • Attend and minute critical meetings, maintain action item trackers, and follow up with relevant teams to ensure execution.
  • Maintain compliance-related documentation, manage budget tracking, and support the CEO with financial and administrative reporting, including monthly expense reports.
  • Managing and driving performance of the Executive and Administrative Assistants
  • Work closely and effectively with the Executive Leadership to ensure consistent communication regarding upcoming meetings, events, etc.


Minimum & Preferred Qualifications and Experience

Minimum Qualifications



  • Minimum of 8 years of demonstrated work experience providing support to the C-Suite level
  • Minimum of 1 year in a similar executive support role, ideally within a fast-paced, technology-driven, or healthcare environment.
  • Proficient in Microsoft Office Suite, particularly PowerPoint, Word, Excel, Outlook, and Teams.
  • Strong time management, communication, and interpersonal skills.
  • Demonstrated ability to work independently with sound judgment and a proactive attitude.
  • High level of integrity, responsibility, and professionalism.
  • Must possess a strong level of discretion and unwavering integrity and honesty to manage highly confidential information.
  • Strong attention to detail with the ability to manage multiple tasks simultaneously.
  • Must be able to travel periodically for off-site meetings; occasional overnight travel is required.


Preferred Qualification



  • Experience working in the medical device industry


Education



  • Bachelor's degree preferred


Compensation: The anticipated salary range for this position is $135,000 - $155,000 plus benefits. Actual placement within the range is dependent on multiple factors, including but not limited to skills, education, and experience. This position also qualifies for up to 15% annual bonus based on Company, department, and individual performance.
