Job Summary:

The administrative associate director position is for the Bock Laboratories, which is the physical home for two Office of the Vice Chancellor for Research (OVCR) Research Centers: the Institute for Molecular Virology (IMV) and the Center for Quantitative Cell Imaging (CQCI). This administrator role is responsible for the planning and direction for multiple administrative operations to advance goals and objectives of both centers and the programs they contain. This also includes administration oversight of two large Ph.D. programs: Cell and Molecular Biology (CMB) and Biophysics (BGDP) and one T32 training grant.

Specific responsibilities also include:

Grant Administration: responsible for grant administration of the IMV and CQCI along the full cycle including application, award setup financial management and closeout.

Bock Centers Finances: responsible for overseeing the financial accounts for all functions in the Bock Centers. Coordinates with financial specialists, Center faculty and campus business offices.

Bock Center Commerce: responsible for selecting and using the proper system for purchasing supplies and equipment necessary for the operation of all IMV and CQCI labs.

Human Resources Function: responsible for the HR function in the Bock Centers including recruitment and hiring of staff, payroll and benefits admin and visa matters of international personnel. Coordinates with faculty, the payroll/benefits specialist, the Bock visa specialist and campus HR offices.


Responsibilities:
Assists with the planning and direction for multiple administrative operations of a division or large business unit(s) of the institution to advance program goals and objectives.

  • 10% Engages in strategic planning and policies to ensure the strategic direction supports the needs of stakeholders
  • 25% Evaluates, designs, and implements operations to align with the strategic direction
  • 15% Establishes goals and priorities for the annual budget for all revenues and expenditures
  • 10% Serves as the unit liaison to internal and external stakeholder groups providing organizational information and representing the interests of the unit
  • 20% Ensures that policies, procedures, and standards are maintained and develops processes and procedures to improve the unit
  • 10% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 10% Provides oversight and financial guidance to the graduate programs and training grants administered through the unit

Qualifications:

At least five years of professional experience with a record of significant accomplishments of management in a diverse work environment is required. Previous demonstrated experience in team building, creativity, flexibility, collaboration, decision-making, staff development and proactive problem solving is required. Excellent communication skills are required, including clear and concise writing. Knowledge of UW-Madison policies and procedures is highly desirable. Experience in private sector businesses is also desirable.
