Summary of Job Duties:The Administrative Specialist II position provides customer service and administrative support to the Office of Campus Living from 8:00 a.m. to 5:00 p.m. This position is governed by state and federal laws, and agency/institution policy. Qualifications:

Required Education and/or Experience:

  • The formal education equivalent of a high school diploma, plus two years of experience in performing administrative support duties, is required;

  • College experience may be substituted for years of experience if directly applicable.

OTHER JOB-RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS.

Preferred Education or Experience:

  • Two years of experience performing administrative duties such as preparing correspondence and filing, and experience using Microsoft Office Suite such as Word, Excel, PowerPoint, etc., is preferred;

  • Experience working on a college campus or other academic environment is a plus.

Job Duties and Responsibilities:

  • Maintain lobby activity and contact staff in the assigned area(s) as needed to maintain conduct standards;

  • Maintain and respond to emails received on the Campus Living email listserv as directed;

  • Maintain all received packages and coordinate with appropriate vendors for all deliveries at assigned areas;

  • Contact appropriate staff as needed in emergency situations;

  • Responsible for origination and record keeping of resident files and e-files, including but not limited to room change and checkout paperwork;

  • Manage office supplies;

  • Maintain databases and rosters and generate reports as requested;

  • Assist with property and key inventory and audits;

  • Assist in the preparation and execution of programs and events, including opening and closing of residence halls and/or University Village apartments;

  • Prepare signage, packets, and meeting spaces, and host departmental guests;

  • Keep on-campus residents informed with accurate emails and/or newsletters as needed;

  • Maintain the professional staff and residential programming calendars as directed;

  • Provide general administrative support to the Campus Living professional staff;

  • Cover the assigned reception desk greeting residents and guests from 8:00 a.m. to 5:00 p.m.;

  • Check-in visitors and provide information and assistance as requested;

  • Provide accurate information and assistance to students, parents, and other visitors;

  • Deliver excellent customer service to students, staff, and visitors;

  • Other administrative duties in support of the Office of Campus Living as assigned.

Knowledge, Skills, and Abilities:

  • Knowledge of record-keeping procedures and ability to maintain an accurate filing system;

  • Ability to provide excellent customer service;

  • Knowledge of computers and software applications, specifically Microsoft Office Products;

  • Ability to respond to emergency situations as trained;

  • Ability to maintain confidential records;

  • Ability to communicate both orally and in writing.
