The Event Accountant Coordinator role serves as a key support resource for project-related financial functions, including the establishment of project files, preparation of client invoices, reconciliation of transactions (including client activity, supplier invoices, and airfare), contract compliance and retention, and overall recordkeeping management.

Client Invoicing & Support - 40%

  • Generate client invoices and related support documentation.

  • Facilitate electronic invoicing (E-invoicing).

  • Assist with collection efforts and help resolve outstanding participant invoices.

Reconciliation & Payment Tracking - 35%

  • Perform transactional reconciliations across multiple systems, including client orders, airfare charges, and participant payments.

File & Document Management - 25%

  • Establish, maintain, and track project files and related documentation in alignment with company policies.

  • Ensure compliance and proper retention of signed client Letters of Agreement (LOAs) and contracts.

  • Request and distribute reports as needed.

Qualifications

  • High school diploma required. Associates degree in accounting, general business, finance or equivalent experience preferred.

  • Good working knowledge of spreadsheet applications.

  • Good organizational and communications skills.

  • Able to handle multiple assignments.

  • Knowledge of Maritz financial process and systems is a plus.
