Position: Payroll Analyst FLSA Status: Salaried, Exempt Reports To: Payroll Manager

Position Summary

The Payroll Analyst works with the Payroll Manager to process the payroll functions of the organization, and assists in ensuring pay is processed on time, accurately, and in compliance with government regulations.

Essential Functions
  • Ensure the timely and accurate processing of payroll for all employee types, including salaried, hourly, and school year-based staff.

  • Perform salary calculations and reconciliations for year round, school year, and part-year staff to ensure accurate pay distribution over contract periods.

  • Serve as the primary point of contact for payroll-related inquiries, including timesheet issues, paperwork assistance, and resolution of discrepancies.

  • Prepare, maintain, and reconcile accurate payroll records and reports in compliance with internal policies and government regulations.

  • Assist with audits and prepare required documentation for state retirement systems, workers' compensation, and unemployment filings.

  • Process and import monthly allocations and deductions for MSRB, MTRS, 457(b), OBRA, HSA, and other benefits.

  • Complete retirement enrollment in MTRS, answer basic employee questions about the retirement process, and ensure timely enrollment in the appropriate retirement system.

  • Accurately complete and return any requests for retirement information from MTRS, MSRB and OBRA in a timely manner.

  • Review and approve Personnel Action Requests (PARs) and update employee profiles in ADP/Paycom.

  • Monitor and respond to the payroll inbox; address questions and requests in a timely and professional manner.

  • Train staff on the use of ADP/Paycom timecard and payroll systems.

  • Collaborate with Human Resources to process new hires, terminations, and employment status or benefit changes.

  • Maintain payroll-related documentation and filing systems, both electronically and physically, as required.

  • Performed benefit calculation reconciliations to maintain payroll accuracy.

Additional Responsibilities
  • Collaborate with CES supervisors, Human Resources, and employees, along with State and Federal Agency staff on payroll topics in a professional and timely manner.

  • Assume any and all additional responsibilities as assigned by the Director of Finance or the Executive Director.

Minimum Qualifications
  • At least three to five years of payroll or related experience required, current knowledge of payroll procedures, practices and tax applications.

  • Knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes.

  • Excellent organizational skills and attention to detail.

  • Experience working with external payroll providers.

  • Strong analytical and problem-solving skills

  • Proficient with Microsoft Office Suite or related software

  • Proficient with payroll software, Infinite Visions, ADP, Paycom preferred.

  • Must have strong mathematical and analytical skills.

  • Possess excellent communication, problem solving and time management skills and be detail oriented.

Preferred Qualifications
  • Bachelor's degree in Accounting, Business Administration, Human Resources, or related field or 3 years minimum experience in Payroll processing

  • Possess working knowledge of benefits and their taxability.

  • Has used Infinite Visions and/or ADP and/or Paycom to process payroll.

Physical Demands
  • Able to lift and/or move packages up to 25 lbs.

  • The ability to move about the office to access file cabinets, office equipment including the constant operation of a computer and other technology equipment.

  • Frequently communicate by phone, face to face, email, and video conference with employees.

Work Conditions
  • Requires working a flexible schedule during peak times of the year.

  • Skilled in working both independently and collaboratively.

  • Able to work productively with frequent interruptions and distractions.

  • Ability to work remotely, if necessary.

  • Ability to work in an open space with others.

  • Hybrid work location, minimum three days in the office each week

Terms of Employment
  • Schedule: Full-time, 12-month position (40 hours per week, additional as necessary). Monday through Friday.

  • Location: Hybrid work location, minimum three days in the office each week

  • Benefits: Full benefit package with 70% employer contribution to premium costs as outlined in the Personnel Policies, effective on the first day of employment. Paid time off, including 13 Paid Holidays, 20 Days of Vacation time, 18 Days of Sick time, 3 Days of Personal time each year, prorated based on start date. CES is a state employer and retirement is offered to full time employees through MA State Retirement or MA Teachers Retirement System.

Compensation Range

$45,000-$65,000
