Job Description

Provide clerical and administrative support for the Engineering departments, including computer related activities, filing, payroll, time edits, answering telephones, printing reports and departmental records/logs.



Responsibilities

    Fulfill general office duties: typing, filing, phone answering, etc.
  • Maintain property operation logs, P.O. ledger (Birchstreet), balance ledger to General Ledger at month end, assist in maintaining inventories and ordering supplies, log daily utility readings and complete month end utility accrual.
  • Coordinate purchases and receiving with in Birchstreet, coordinate with accounting to ensure invoices are accounted for and paid.
  • Update contract binder, regulatory binder, Certificate of insurance binder and non-regulatory binder monthly.
  • Coordinate activities of Engineering staff through work assignments in cooperation with other Engineering management staff.
  • Coordinate meetings with contractors and vendors as requested by management staff.
  • Assume administrative duties in accordance with changing requirements.
  • Maintain electrical exhibit service files.
  • Be familiar with Omni fire alarm procedures and other emergencies.
  • Set up workstation with necessary supplies and resource materials; maintain cleanliness throughout shift.
  • Communicate all necessary information to hotel departments, guests, and vendors in a timely and accurate manner.
  • Maintain accurate time edits and communicate daily discrepancies.
  • Establish and maintain filing system procedures.
  • Retrieve and distribute departmental mail.
  • Document all guest requests/complaints and communicate such to respective personnel for proper handling. Follow up on guest satisfaction.
  • Respond to all guest requests and complaints in a friendly and efficient manner.
  • Call appropriate vendors or internal contacts if repairs are needed on equipment.
  • Maintain knowledge of all Hotel services/features and hours of operation.
  • Maintain complete knowledge and comply with all Hotel and departmental policies and procedures.


Qualifications

  • 1 year administrative experience.
  • Previous experience in a full service hotel or building maintenance project support required.
  • Ability to effectively communicate in written and spoken English is required.
  • Ability to type 30 wpm accurately.
  • Ability to have attention to detail, be well organized and follow up.
  • Ability to maintain confidentiality of guest information and designated Hotel data.
  • High school graduate or equivalent preferred.
  • Must have computer skills, including advanced proficiency in Microsoft Office programs, Internet research, and the ability to quickly learn new software.
  • Must be a self-starter and able to successfully complete projects with minimal oversight.
  • Must be comfortable working in a fast-paced environment.
  • Exceptional organizational skills with the ability to prioritize and multi-task effectively.
  • Promote and maintain a welcoming atmosphere in the office.
  • Must be able to work a flexible schedule including day, evening, weekends and holidays.

* Pay: $26.00 per hour. The pay scale provided is a range that Omni Hotels & Resorts reasonably expects to pay. Actual compensation offered may fluctuate based on a candidate's qualifications and/or experience.
