What We Need

The Executive Assistant to the Executive Vice President (EVP) and Chief Financial Officer (CFO) is accountable to provide a broad range of executive level administrative support and coordination to ensure that the Office of the CFO and the Finance Department run smoothly. This role requires extensive communication within and outside the company. The position will interact with external stakeholders (BCBSMA Board of Directors, agencies, consultants, peer-executives) and internal stakeholders across all levels and BCBSMA locations. The position will support critical issues that are highly sensitive in nature and often under tight timelines. A high degree of initiative, integrity, flexibility and discretion is required in managing relationships, resolving issues, and coordinating a complex individual and department schedule.

Key Responsibilities:

  • Performs a broad range of administrative coordination and support duties requiring extensive communication within and outside the company. Execution of assignments requires a high degree of independent action, considerable judgment, and analytical skill.
  • Manages executive's calendar, meetings, schedule, travel arrangements, expense reports, and prepares requisite materials.
  • Provides a strategic lens and business acumen to calendar management by prioritizing requests, collaboratively with the Chief Financial Officer and the Finance team.
  • Consults with executive as needed to solicit information, provide critical updates and to coordinate information and priorities.
  • Manages the planning, scheduling and overall management of recurring and ad-hoc divisional and cross-functional working sessions and meetings, including the preparation and distribution of meeting agenda.
  • Engages C-suite executives and their administrative staff.
  • Manages calendars for some of the CFO direct reports.
  • Manages other executive team's and Finance team's administrative needs when peer admins are on PTO or load balancing is needed
  • Represents BCBSMA and Chief Financial Officer to a wide variety of internal and external constituents via telephone, email and in person. Builds relationships, proactively resolves issues and is up to date on current market, industry and companytrends, strategies and priorities.
  • Develops and manages executive-level presentations and communications for CFO using multiple software applications (PowerPoint, Word, Excel) at an advanced level
  • Prepares meeting materials including assisting with the creation of presentations (virtual and live), handouts and other related materials as well as printing, binding, and collating of materials.
  • Fields inquiries and acts as gatekeeper and liaison on behalf of the CFO, ensuring that all calls are handled effectively, efficiently and with a high level of professionalism.
  • Handles sensitive information with the highest degree of integrity and confidentiality.
  • Establishes annual master calendars to coordinate the strategy for meetings with key leaders and meetings.
  • Works in-office 3 times a week and for the full week during quarterly Board meetings.

Qualifications:

  • Highly organized team player with the ability to meet deadlines and manage multiple tasks and multiple stakeholders with a high level of customer service in a fast-paced environment
  • Advanced proficiency in Microsoft Office: Outlook, Word, Excel, and PowerPoint.
  • Excellent problem solving skills and resourcefulness.
  • Maintains confidentiality of a number of key personnel and business issues
  • Ability to build relationships with executives
  • Excellent oral and written communication skills to effectively interact with all levels.
  • Excellent organizational, and time management skills.
  • Ability to anticipate needs, pays attention to detail, and is resourceful.
  • Ability to work independently with minimal to no supervision.
  • Ability to set priorities and handle the most urgent ones first.
  • Provide concierge service to both external and internal customers.
  • Demonstrated ability to succeed in a team environment.
  • Consistent on-going effort to strengthen skills and develop new ones.
  • Ability to manage multiple assignments and meet scheduled deadlines.
  • Ability to occasionally manage urgent tasks during non-traditional work hours

Experience and Education:

  • Minimum of 5 years of executive-level administrative and business experience
  • Associate's degree or equivalent experience preferred

LocationBoston Time TypeFull time Hourly Range: $42.37 - $51.78

The job posting range is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee's pay position within the salary range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs and affordability.

This job is also eligible for variable pay.
