Event Planning Assistant

Cooley is seeking an Event Planning Assistant to join the Marketing & Business Development team.

Position summary: The Event Planning Assistant will support the events team with the organization and execution of all client-related, firm-hosted events and seminars, sponsorship opportunities and attorney speaking engagements. This role will focus on working within the event-related marketing systems and provide on the ground event support to assigned office(s). Specific duties include, but are not limited to, the following:

Position responsibilities:

  • Assist with activities related to firm-hosted events, firm sponsorships and attorney speaking opportunities. More specifically:
    • Work with full events team and other key constituents on event communications including invitations, announcements, website postings and event follow-up messages
    • Work closely with colleagues in other departments (catering, office services, technology, receptionists, etc.) to coordinate on-site event logistics
    • Assist the events team with mailing list creation, mailing list additions and contact updates in Salesforce
    • Assist with Cooley store maintenance to include oversight of inventory levels, order approval, new product sourcing and invoice tracking
    • On-site set-up and attendance for assigned office events
    • Invoice submission, tracking and documentation for all event related expenses
    • Maintain approved event vendors list in Salesforce
  • Assist with event team operations.
    • Create and coordinate monthly events report
    • Proofread all event campaigns in Salesforce for CooleyNet event calendar
    • Manage event team iPad registration supplies and shipping coordination
    • Research and update contact information in Salesforce using Pardot bounce reports
    • Leverage event ticketing software to facilitate internal and external distribution
  • All other duties, as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Available to work overtime, as required
  • Following training, exhibit proficiency in firm marketing systems software (e.g., CRM tool proficiency) and other Cooley applications

Preferred:

  • Bachelor's degree in business, communication, marketing, or related field
  • Experience in events or marketing-related field
  • Experience in a professional services environment

  • Self-starter able to work in a demanding, project-based environment
  • Ability to work with some direct supervision in a highly collaborative environment
  • Ability to multi-task, problem solve, work well under pressure and coordinate sophisticated marketing programs with good results

  • Ability to develop professional relationships with department members, attorneys and firm staff

The expected hourly pay range for this position with a work schedule of 40 hours per week is $27.00 - $33.00 ($56,160.00 - $68,640.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
