Salary: $63000-$66000 / year

Job Summary

The HR Generalist manages the daily HR operations in the areas of recruitment, employee relations, onboarding, record keeping/systems, and compliance with HR policies and employment laws in a multi-state environment. This position maintains a high level of integrity and discretion in handling confidential information and situations and promotes a positive and inclusive work environment. This highly organized position thinks systematically, responds quickly and accurately, and manages deadlines in a dynamic environment.

The HR Generalist navigates between Canteen One being its own sub-sector while utilizing our parent company resources and policies to accurately accomplish tasks and requests. This position upholds the values of the Human Resources Department, including People-Focused, Confidential, Customer Service, Partnerships, Technology, Strategic, Accuracy, Compliance, Can Do, and Reliable.

Essential Functions

Recruitment and Onboarding

  • Performs all aspects of recruiting: requisition, posting, applications, reference checks, assessments, background checks, manage internal recruiting portal, internal notifications, offer letters, candidate notifications, etc.
  • Performs all aspects of HR onboarding: orientation schedules, internal notifications, candidate communications, manage internal onboarding portal, paperwork and forms, HRIS, I-9 forms/E-Verify, welcome kits, HR orientation and benefit meetings, etc.
  • Handles employment-related inquiries and requests from applicants, associates, and supervisors, referring complex and/or sensitive matters to the appropriate staff/resource.
  • Works directly with the manager and our temporary contract agencies to fill temporary labor needs.
  • Updates Job Summaries and Job Descriptions.
  • Manages internship program with partner organization, and conducts regular training sessions.
  • Assists with communicating and implementing HR initiatives and projects.
  • Utilizes parent company resources and procedures appropriately to accurately accomplish tasks.
HR Administration: Record Keeping & System Updates
  • Maintains complete, accurate, and confidential personnel files, job files, medical files, I-9 files, etc.
  • Processes paperwork and updates HRIS system: new hires, terminations, employee changes, employment agreements, transfers, promotions, compensation/pay/bonus changes, PTO, MN ESST, Wellness Hours, and general employee database maintenance.
  • Performs routine tasks required to administer, track and execute human resource programs, including recognition programs, compliance training, handbook, new hire performance reviews, hire referral program, HR Bulletin Board, process 360 assessments, etc.
  • Maintains accurate documents for Manager and Associate access in SharePoint, including Employee Information and Manager folders, and updates Canteen One's Manager Handbook via OneNote.
  • Reviews requests for changes to ensure internal equity, consistency, feasibility, and against policy/practice, and appropriately question and/or escalate.
  • Handles workers compensation procedures and record keeping, and other applicable health compliance reporting, including escalating accommodation requests.

Employee Relations

  • Promotes a positive and inclusive work environment.
  • Addresses employee concerns, provides solid guidance/coaching, mediates disputes, and resolves issues.
  • Conducts investigations following company protocol and documentation.
  • Ensures company HR-related policies are applied consistently.
  • Reviews options and procedures with associates around Compass provided programs, such as leave of absences, benefits, and C1/Compass entitlements, etc.
  • Outside of Compass Group's employment verification process, process county assistance forms, social security forms, etc., using Compass' processes.

Compliance

  • Time and attendance software setup, maintenance, review, and system training.
  • Maintains compliance with federal, state (multi-state employer), and local employment laws and regulations.
  • Keep updated with Compass monthly compliance updates and maintain employment law grid for each state a Canteen One Associate works from.
  • Per pay period, email and archive PTO updates for Associates in certain states per their state regulations.
  • Utilizes parent company resources as appropriate to accurately accomplish tasks.
  • Run compliance time and attendance reports to ensure adherence to applicable state and federal wage and hour laws, entitlements, and company policies; address issues with the supervisor or escalate as appropriate.
  • Recommends best practices, and reviews policies and practices to maintain compliance.
  • Maintains knowledge of regulatory changes and employment law, and company provided benefits and entitlements.

Reports

  • Creates monthly headcount, openings and movement tracking reports.
  • Maintains service award spreadsheet, and places bi-annual service award orders.
  • Prepares requested reports and maintains organizational charts.
  • Maintains accurate documentation of HR procedures and processes.
Education, Training, and Experience

Required

  • Bachelor's degree in Human Resources, Business Administration, or related field

Preferred

  • Human resources coordinator or generalist experience strongly preferred
  • HR experience at a multi-unit/state organization
  • SHRM-CP, SHRM-SCP, PHR or SPHR designation strongly preferred
  • Knowledge, Skills, and Abilities
  • Required
  • Demonstrated on-the-job knowledge of the human resources field
  • Thorough knowledge of employment-related laws and regulations, benefit products and entitlements
  • Ability to act with integrity, professionalism, and confidentiality
  • Experience with HRMS/HRIS, and time and attendance tracking systems
  • Excellent interpersonal and conflict resolution skills
  • Excellent written and verbal communication skills
  • Strong organizational, analytical, decision-making and time management skills
  • Intermediate Microsoft Word, Excel and PowerPoint skills; advanced skills preferred
  • Ability to work independently and meet project deadlines
  • Strong presentation skills
