Overview

Ensures all ground handling and service functions for Charter and ACMI offline operations are expedited according to policy and procedures within 72 hours. Provides guidance and training related to Ground Operations Coordinators.



Responsibilities

    Performs all the duties and responsibilities of the Ground Ops Coordinator
  • Research and resolve any issues that are escalated from the Ground Ops Coordinators
  • Plans daily Coordinator activities within weekly work schedules
  • Publish schedules monthly and ensure coverage
  • Monitor daily Coordinator activities and assist in follow up as needed
  • Host worldwide GO Call to review upcoming high profile flights, special loads, and overnight delays. Address any potential issues as necessary
  • Capture delay reporting with applicable stations to verify Ground Ops charged delays
  • Relay Ground Operational issues as needed to all parties within Global Control Center
  • Represent Ground Ops in all meetings in the absence of Manger & Supervisor
  • Provide on-the-job training and familiarity training to first year Ground Ops Coordinators
  • Create and monitor training matrices to ensure initial and remedial training schedules are conducted
  • Ensures training from other departmental groups has been provided to Coordinators
  • Report progress of individual training, level of understanding, and progression to management
  • Liaisons with Systems Operations, Operations Planning, Flight Operations, Performance Engineering, Sales/Marketing, Permitting, and other groups to ensure ground handling services and equipment are in place as schedules are amended.
  • Maintain the Ground Ops Information database with current ground handlers, warehousing, into-plane agent, catering and de-icing vendor contact information and services
  • Track vendor invoices within 72hr window to ensure prompt payment
  • Perform initial set up and revisions of official documents provided to the designated vendors per charter and/or operation. Coordinates with vendors to ensure services are in place and rendered.
  • Present valid General Declaration and Landing Rights form to U.S. Customs & Border Patrol to obtain approval as required on International flights.
  • Present completed Aircraft Prior Permission Required form to Military Base Operation to obtain approval as required prior to date of operation.
  • Maintain department's database with information pertinent to General Declaration and Landing Rights filing.
  • Responds to internal/external departments on matters and inquiries regarding all aspects of ground operations (i.e. Loadmaster, Passenger, Dangerous Goods, Deicing, Ramp, Airport Terminal, Warehousing, Fueling, Passenger and Cargo catering services, and Airport Security information.
  • Coordinate with main-line stations regarding supplies and stock levels required for flights/operations
  • Set up the cargo aircraft locks configuration as required by a charter or operation with main-line stations, Maintenance team, or operating Loadmaster and Mechanic at specific station.
  • Research and complete an airport suitability assessment to include maintaining the department airport database.
  • Coordinate and facilitate internal Ground Operations meetings
  • Work with Management on short and long-term initiatives


Qualifications

  • BA in Aviation required or equivalent ground handling/airline operations experience
  • Minimum five years of experience in airline/ground handling operations and (two years of experience within department or equivalent)
  • Must be qualified in all areas of ground and Cargo operations

Special Demands:

  • Shift work and weekend coverage may be required
  • Willingness to work varied hours and holidays

Skills:

  • Ability to motivate and lead staff through a project from concept to completion in a fast pace time critical environment
  • Ability to train staff on various more complex applications and processes
  • Ability to lead and work with interdepartmental teams
  • Demonstrated ability to work in a team-based environment
  • Must be able to perform multiple tasks and be able to complete difficult matrices to ensure all tasks are followed through from start to finish
  • Excellent written, verbal and interpersonal communication skills
  • Ability to understand all aspects of Ground and Cargo Ops including Loadmaster, HAZMAT, deicing, fueling, catering, and security
  • Outstanding customer service skills
  • Proficiency in Word, Excel, and Outlook, and PowerPoint

Salary Range: $60,500-81,500
