We are seeking a part-time Leave Administrator to join our Human Resources team. This individual will administer Family and Medical Leave Act (FMLA), State Leaves, Americans with Disabilities Act (ADA), Personal Leave of Absence (PLOA), PSIL (family care), Short-Term Disability (STD), and Long-Term Disability (LTD) benefits for a workforce of over 1500 employees.

Responsibilities include collaborating with the benefits and wellness manager, human resources team, payroll team, and third-party administrators (TPA) to ensure compliance, managing escalated claims, and facilitating effective return-to-work processes.

Duties/Responsibilities:

Leave Administration:




  • Administer FMLA, ADA, PLOA, PSIL (family care), State Leaves, STD, and LTD benefits.



  • Serve as primary contact for employees, human resources team, and managers regarding all leave of absence questions and situations.



  • Partner with TPA to thoroughly review FMLA, ADA, STD, and LTD documentation to ensure compliance.



  • Administer and manage state leaves which TPA does not administer.



  • Send required documentation to employees and provide regular updates to management and HR.



  • Provide exceptional and timely customer service to all internal and external stakeholders regarding leave of absence and disability.



  • Regular review and analysis of leave policies to ensure compliance and review for improvements.




Claims Management:




  • Review escalated claims with TPA and work collaboratively to resolve employee grievances and address documentation concerns.



  • Attend weekly call with TPA to go over any outstanding claim issues.




ADA Accommodations:




  • Partner with TPA and HR for the review of ADA accommodation requests.



  • Ensure smooth communication of ADA requests to employees in a clear and timely manner.



  • Monitor existing ADA approvals to ensure recertifications are applied for and processed in a timely manner.




Return-to-Work Management:




  • Manage communication with employees to provide return to work forms are completed prior to return to ensure a safe return for those employees returning from various leaves.




Employee Problem Resolution:




  • Resolve employee problems with a focus on improving operations and providing exceptional and timely service to employees on leave.




Database Management:




  • Update the HR database with new employee information, leave updates, benefits changes, and other relevant details.



  • Provide regular audits within TPA portal to ensure all leaves have been approved, and otherwise address any issues.



  • Ensure enrollment and termination of direct billing for employee benefits while on leave.



  • Ensure leave dates are communicated to retirement vendor for applicable loan impacts.




Time Tracking and Payroll Support:




  • Track employee time on spreadsheets, updating and sending information to payroll for processing.



  • Manage timesheets for employees on Leave of Absence (LOA).



  • Communicate any payroll adjustments to payroll team for prior periods.



  • Collaboration with the finance team on bonus proration processes.




Leave Education/Support:




  • Partner with internal stakeholders to design and implement leave and disability trainings for internal teams.



  • Ensure that internal benefits site is up to date with leave information
