Job Summary:

The Associate Registrar is one of two senior staff in the Office of the Registrar who report directly to the University Registrar and form the leadership team. This role manages half of the office personnel and functions, works closely with University, school, administrative and academic offices, maintains space, curricular and academic records, course and teaching evaluations, and oversees and performs functional systems administration and analysis, including reviewing and approving access to student records, and coordinates special projects. The position also takes a lead decisions for student information and space management systems and decisions and the ongoing maintenance and updates of these environments.

Specific Responsibilities:

Supervision and Management

  • Manage and supervise key unit staff, including the Senior Assistant Registrar for Registration and Scheduling, several non-exempt staff in the reporting line, (remote optional) business and data analysts with full authority to hire, assign work, train, and evaluate the performance of each.
  • Supervise front line staff who are part of an ongoing effort to build a one stop support center for the Office of the Registrar, Student Finance, and HIMS, in partnership with Financial Aid.

Classroom Management and Planning

  • Oversee and have final authority for classroom assignments and management and the technology used to do so, in house and throughout the university. Actively participate in campus planning, contributing to building program committees and similar work groups, working closely with Facilities Management and the Provost's Office to identify teaching space needs and propose solutions. Review and propose policies and practices to improve space utilization and meet changing academic needs.

Coordinate University Processes and Advise Campus Partners

  • Coordinate processes, advise, and manage relationships with all schools and their programs as well as other registrar's offices, student support and administrative units. This includes representing the Office of the Registrar in university committees and workgroups, responding to questions and providing policy guidance, explanation and interpretation for Northwestern policies including FERPA, appropriate use of student and course and teacher evaluation data and applicable policies.
  • Coordinate the development of new policies and processes, and other needs as they relate to academic and system administration, registration, calendar establishment and setup, annual all-student verifications and attestations, catalogs, and course and teacher evaluations. Coordinate BTAA CourseShare enrollments with participating institutions.

Systems Oversight and Maintenance

  • Update, test, and serve as a local expert in the primary student information system (Oracle Campus Solutions) including academic structure, course, class and registration setup, academic calendars for multiple careers, service indicators (holds), and other areas.
  • Supervise the review and approval of student records access and data in compliance with university and government policies, making final decisions regarding complex and unusual requests.
  • Ensure other vendor tools and the associated relationships are appropriately managed by direct reports, including upgrades, integration changes and user support. Current products include CourseLeaf CLSS and CAT, Blue by Explorance, Starfish by EAB, and 25Live by CollegeNet.

Maintain Office Standards and Expectations

  • Coordinate special projects and perform other duties as assigned; Serve on the Office of the Registrar management team to support, direct, and guide office operations, including working with colleagues in Student Finance, HIMS and Financial Aid to establish close collaboration; Engage in professional development activities and study to improve professional skills and stay current on regulations and best practices.
  • Attend and present at seminars and conferences to develop expertise and a network of colleagues and to represent Northwestern University.

Minimum Qualifications:

  • A bachelor's degree and six or more years of increasingly responsible experience in university administration, including supervision of staff.
  • Expert staff leader and manager.
  • Ability to lead and serve on small and large teams.
  • Solid organizational skills.
  • Substantial experience with large-scale student information systems.
  • Proven skills necessary to make data-informed decisions.

Preferred Qualifications:

  • A master's degree with significant academic operations experience.
  • Experience managing registration or classroom scheduling and space use analysis.
  • Experience or familiarity with Oracle Campus Solutions, CourseLeaf CAT and CLSS, 25Live, or Explorance Blue course evaluation software.
  • Experience registrar's office in a decentralized university environment.

Target hiring range for this position will be between $115,000-$125,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data
