Description

The Division for Land-Grant Engagement at West Virginia University a Temporary 4-H Program Coordinator. This position, headquartered in Morgantown, WV, provides support for state-wide camps and events as well as administrative and financial assistance to the WVU Extension 4-H Youth Development Program Unit.

What you'll do:



  • Works with Event Program Coordinator to provide conferencing support leadership for the development, communication, organization and implementation of 4-H Youth Development educational events and activities.
  • Works with WVU Extension faculty and staff related to event logistics, securing of supplies and materials, on-site assistance, and problem solving.
  • Communicates with constituents, vendors and resource people related to event registration, logistical details, payments, arrangements for events, and special accommodation requests.
  • Attends various events and conferences on and off-campus to provide support to the 4-H Youth Development Unit. Events may occur during normal work hours, as well as nights, weekend and holidays. This includes occasional overnight stays at 4-H camps or other statewide events to assist with the event as needed.
  • Maintains thorough, organized event records and files (i.e. plans, budgets, contracts, communications, customer inquiries & feedback, etc.) needed to measure event success, to provide information on event history, to aid future event budget development, and for future event expansion planning.
  • Works with WVU Extension Communications and Technology colleagues to prepare and publish calendars of events, event descriptions, and event registration materials on unit website and social media platforms; reviews and updates as needed for accuracy.
  • Works with colleagues in WVU Extension Business & Finance and WVU Shared Services to provide financial support to the 4-H Youth Development Program Unit. This could include sub-accounting activity, creation of invoices, tracking of expenditures, purchasing, processing of financial documents, supporting event budgets, deposits and reviewing financial information for accuracy.
  • Attends and participates in state and national professional development sessions related to this position, the 4-H Youth Development unit, WVU Extension and West Virginia University.
  • Performs other duties as assigned or approved by supervisor.

Qualifications

  • Associate's degree in secretarial science or a related field or an equivalent combination of education and experience
  • A minimum of one (1) year of experience involving:


    • Desktop automation, including software such as Windows, Word, Excel, Access, and PowerPoint
    • Project Management
    • Conference/Event Management
    • Program Planning
    • Technical, Software and Database Management


  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.


Knowledge, Skills and Abilities



  • Demonstrated knowledge of professional business etiquette, protocol, public relations principles, planning procedures and event management.
  • Knowledge of purchasing and procurement rules and procedures, budgetary methods and event finances.
  • Knowledge of appropriate use of WVU and WVU Extension branding and the proper use of the 4-H Name and Emblem
  • Demonstrated skill in managing competing demands, handling complaints and interacting diplomatically with professional contacts.
  • Demonstrated skill and competence in computer operations utilizing various Windows based software packages such as Microsoft Office, web-based applications and Excel.
  • Strong communication, organization and interpersonal skills to perform duties in a professional manner.
  • Ability to work effectively with a variety of audiences including faculty, staff, administrators, volunteers, other University employees, and members of the public (youth and adults).
  • Ability to plan and manage events and projects, to maintain composure during periods of high activity and unplanned situations and to problem-solve errors and manage last minute changes and crises.
  • Ability to maintain strict confidentiality, positive attitude, professionalism and commitment to implement the policies and procedure s of WVU, WVU Extension, 4-H Youth Development, and WVU Jackson's Mill
  • Ability to work and travel independently and to work flexible hours, which may include some nights and weekends (overtime may be required) while maintaining proper attendance and punctuality standards.
