Job Summary

In collaboration with the Executive Assistant to the President and the Associate Vice President for Facilities, the Senior House Director is responsible for high-level and day-to-day management of the Caltech President's official residence, consisting of the house and its contents, surrounding landscape and grounds, and outbuildings on the property. The successful candidate will work with other Caltech staff and external vendors to oversee home improvements, including developing options for property renovations. Additionally, the Senior House Director will design and manage private and Institute-hosted events at the request of the President and their spouse/partner. The Senior House Director will guide and counsel organizations outside the Office of the President who sponsor events hosted by the President and their spouse/partner in their home.

The Senior House Director will promote a positive image of Caltech and safeguard confidentiality by exercising absolute discretion in communicating information and handling records, files, and similar confidential materials. As a representative of Caltech and the Office of the President, the Senior House Director is expected to perform with diplomacy and sound judgment as they interact with key stakeholders on campus and in the community. The successful candidate must possess outstanding customer service skills, strong attention to detail and follow-through, and the ability to work with people at all levels.

The Senior House Director role requires planned work outside of business hours and requires availability to respond to time-sensitive after-hoursrequests.

Essential Job Duties

Property Management

  • Manages all renovation projects and directs project staff for major repairs and improvements.
  • Participates in planning long-range design, repairs, and use of the residence.
  • Oversees the use and scheduling of all activities and events at the Residence.
  • Researches, selects, and directs multiple service vendors, contractors, and subcontractors for events and projects.
  • Responsible for non-routine projects, including overseeing or coordinating moves or relocations, furniture selection, etc.
  • Develops controls and manages access to the Residence.

Private Event Management

  • Plans, develops, and designs events.
  • Instructs staff regarding the execution of events.
  • Coordinates all services and liaises with the President or Presidential Spouse/Partner on cleaning, maintenance, and grounds work to ensure the residence is prepared at all times for its varied and intended uses.
  • Directs event support staff.

Budgets

  • Develops and manages the maintenance and operations budget for major repairs and improvements.
  • Develops and manages the events budget.

Operations

  • Manages daily operations; schedules and oversees the regular and preventive maintenance of the residence.
  • Identifies and develops options for events, renovations, and landscaping.
  • Ensures that effective emergency and first-aid plans and supplies are in place for the residence.
  • Arranges for health, safety, and security protocol training for personnel supporting events at the Residence.

Records Management

  • Maintains accurate inventories of the property at the residence, ensuring that the presidential family's personal property is recorded separately from Caltech-owned property.
  • Maintains relevant historical and household records.

Other Duties

  • Supports the operations of the Office of the President when feasible and appropriate and under the direction of the Executive Assistant to the President.
  • When feasible and appropriate, and at the discretion of the Executive Assistant to the President, assists the Office of the Board of Trustees with board meeting logistics.
Basic Qualifications
  • 8 years of experience in property management, hospitality, or event coordination.
  • Experience managing budgets and overseeing vendors.
  • Must be able to maintain all information obtained in the performance of duties with discretion and absolute confidentiality.
  • Ability to lift up to 25 pounds. This position involves frequent walking and occasional bending, reaching, and lifting.
  • Must be available to work a non-traditional work schedule, including evenings and weekends.

Hiring Range

$125,000 - $155,000 per year

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
