Job Description Summary

This position is responsible for the accuracy & integrity of student academic records, supporting
the OUR's role in the annual curriculum process, and for producing the annual Bulletin.

Job Description

Essential functions:

  • Ensure all degree requirements have been fulfilled before academic credentials (degrees, majors, minors, concentrations, certificates) are conferred each term.
  • Meet with students as needed to confirm graduation plan, answer questions, and resolve issues.
  • Review and route for approval academic requirement overrides in Workday.
  • Document and certify departmental honors.
  • Track and follow-up with pending graduation applicants who are not on track to graduate each term.
  • Communicate with students about the application for program completion process and deadlines.
  • Assist with troubleshooting the configuration of the degree audit system.
  • Assist with the production and digital publication of the annual Bulletin.
  • Coordinate with departments across campus for changes to Bulletin front matter (university policies & information).
  • Update faculty-approved curricular changes (new or changed program/degree requirements, new/updated courses, course descriptions, etc.) in the Bulletin and Workday.
  • Verify approved curricular changes in the degree audit system

Other Functions:

In partnership with the Assistant University Registrar for Transfer, provide secondary support for the following:

  • Assist with reviewing and awarding AP/IB, transfer, and study abroad credit.

In partnership with other members of the Office of the University Registrar, provide secondary support for the following:

  • Support: Provide general support to constituents via phone, email, chat, and in-person.
  • Actively participate in process review and improvement.
  • Other duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • Two years of related professional experience
  • Ability to work effectively and collegially with faculty, staff, and students
  • Ability to follow established policy and documented business processes
  • Superior communication, critical thinking, and problem-solving skills

Preferred Education, Knowledge, Skills, Abilities:

  • Bachelor's degree or equivalent combination of education and experience
  • Experience with Workday Student or similar student information systems
  • Experience working with or in an administrative office at a postsecondary institution

Accountabilities:

  • Responsible for own work.

Physical Requirements:

  • Sedentary work primarily involves sitting/standing; communicating with others to exchange information; repeating motions that may include the wrists, hands, and/or fingers; and assessing the accuracy, neatness, and thoroughness of the work assigned.
