JOB SUMMARY: As a key member of the BioCryst Legal team, the selected candidate will oversee the contract process, including coordination of operations, project management, and providing support to Legal, Business Development and Finance in preparation, review and negotiation of contracts. The position requires attention to detail, organization and the ability to prioritize in a growing, fast-paced legal department. The Legal Contract Technology Manager will drive automation, AI strategy integration and deployment of technology solutions focused on Contract Lifecycle Management (CLM). The candidate will have expertise in legal operations, automation technologies, and AI driven solutions, enabling the legal teams to streamline contract workflows, improve operational efficiencies, and drive overall business value. #LI-REMOTE ESSENTIAL DUTIES & RESPONSIBILITIES:
- System Maintenance and Updates:
- Regularly update the contract management system (ContractPodAi) to ensure it is running the latest software versions.
- Perform routine maintenance checks to prevent system downtime and ensure optimal performance.
- Manage the relationship with the vendor and contractors as needed.
- User Support and Training:
- Provide technical support to users experiencing issues with the contract management system.
- Conduct training sessions for new users and offer refresher courses for existing users to ensure they are proficient in using the system.
- Prepare guides and training materials on the use of the system, workflows, etc
- Attend weekly/monthly meetings with business to continue to build acceptance and efficient use of the system.
- Effectively bridge the gap between legal needs and technological solutions, enhancing the overall efficiency and productivity of legal services.
- Data Management:
- Oversee the accurate input, storage, and retrieval of contract data within the system.
- Ensure data integrity and consistency by regularly auditing the system for errors or discrepancies.
- Collaborate with Oracle IT team and Procurement to ensure data is transferring correctly, refine the data feed as needed.
- Utilize data to deliver impactful metrics; prepare reports that illustrate progress; respond to ad hoc requests.
- Security and Compliance:
- Implement and monitor security protocols to protect sensitive contract information.
- Ensure the system complies with relevant legal and regulatory requirements, including data protection laws.
- Troubleshooting:
- Identify and resolve technical issues that arise within the contract management system.
- Work with IT and other departments to address and fix system-related problems promptly.
- System Customization and Improvement:
- Partner with Legal Operations to understand needs and translate these into technology solutions.
- Customize/configure the contract management system to meet the specific needs of the organization.
- Continuously seek ways to improve the system's functionality and user experience.
- Oversee projects from conception to completion, ensuring they meet the needs of legal professionals and business.
- Ensure application of best practices in process development and contract management.
- Reporting and Analysis:
- Generate reports on contract statuses, system usage, and other relevant metrics.
- Analyze system performance and user feedback to identify areas for improvement.
- Template Review and Creation:
- Assist with the annual review of templates and internal clause library and subsequent maintenance of same within CLM.
- Other Responsibilities:
- Assist with other department related tasks as required.
- Schedule meetings and appointments as related to Legal Systems Administration.
- Support departmental efficiency by delivering ad hoc and ongoing activities, e.g. PPT presentation preparation, document management, etc.
- Assist with ongoing maintenance of the legal intranet site, Smartsheet intake process and Power BI reports.
- All other duties as assigned.
EXPERIENCE & QUALIFICATIONS:
- Bachelor's Degree and a minimum of 5 years of experience working with Legal Technology, CLM, or in a contracts paralegal role with responsibility for the CLM; or an equivalent combination of education and experience.
- Strong understanding of legal technology tools and software. Experience and proficiency managing ContractPodAi preferred.
- Ability to translate technical jargon into understandable terms for legal professionals.
- A deep understanding of legal processes and technology trends.
- Strong organizational and project management skills.
- Proficiency in Microsoft Office applications.
- Able to thrive in a fast-paced, dynamic environment with a high degree of professionalism and confidentiality.
- Strong analytical, written and communication skills.
- Experience in managing relationships with technology vendors.
- Excellent time management skills with a proven ability to meet deadlines.
- Flexibility to adapt to changing priorities and legal environments.
- Proficiency with excel, Power BI, Smartsheet, MS Team and Zoom.
