Event Coordinator - School of Hospitality

DepartmentHospitality, Tourism & Events Position Summary:

The Event Coordinator strategically plans, schedules, and executes internal/external events and meetings for the School of Hospitality and its clients. This role bridges academic and industry needs by collaborating with the SpringHill Suites (SHS) sales team to optimize use of the Hospitality Learning Center's facilities. The coordinator ensures events align with educational goals while delivering professional-grade experiences for students, faculty, staff, and external partners.

Key Responsibilities

Event Strategy & Logistics

  • Design event concepts that integrate experiential learning opportunities for hospitality students.
  • Develop detailed timelines, floor plans, and production schedules adhering to academic and industry standards
  • Negotiate contracts with vendors (caterers, AV teams, decorators) to balance cost-effectiveness with quality
  • Manage inventory of event supplies, including linens, tableware, and technology.
  • Oversee compliance with health/safety regulations and alcohol service laws (e.g., TIPS certification)

Academic Collaboration

  • Coordinate with faculty to incorporate real-world event projects into curriculum.
  • Supervise student workers during events, providing mentorship in setup, registration, and client relations.
  • Organize industry networking events connecting students with hospitality professionals.

Client & Venue Management

  • Conduct client consultations to align event vision with budget/space constraints
  • Create customized proposals using tools like Tripleseat, Cvent, or Social Tables
  • Optimize room utilization in collaboration with SHS sales team, ensuring spaces meet ADA/tech requirements.

Operational Execution

  • Direct front-of-house logistics: student staff scheduling, and equipment setup
  • Implement risk management plans for emergencies (weather, vendor cancellations)
  • Conduct post-event debriefs with stakeholders to assess learning outcomes

Required Qualifications

Education:

  • Bachelor's degree in Hospitality, Event Management, or related field or 4+ years of equivalent experience.

Technical Skills:

  • Proficiency in event software (e.g., TripleSeat, Delphi, CVENT)
  • Advanced Excel/Sheets for budget tracking

Preferred Qualifications

  • Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP)
  • ServSafe Food Handler or equivalent certification
  • Experience with academic event programming and planning

Salary for Announcement

Under Colorado law, MSU Denver is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account a variety of factors including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The salary range that the University reasonably expects to pay for this position is $45,300 - $56,600.The full salary range is $45,300 - $68,000.

This position is paid monthly and is eligible for MSU Denver benefits.
