Primary Purpose of Position
The Visit Team Assistant supports a high-volume front-line team responsible for welcoming prospective students and families at the Gage Undergraduate Admissions Center. The assistant greets guests at our front desk and performs a variety of administrative functions including maintaining inventory, purchasing materials, reporting maintenance needs, updating calendars, preparing documents/reports and other general support as needed.
Minimum Education/Experience
Required Minimum Qualifications:

Graduation from high school; or an equivalent combination of education and experience.

University Preferred Qualifications:

Graduation from high school, or completion of its equivalency, and one year of office/clerical work experience; or an equivalent combination of training/experience.
Essential Job Duties

Duties to Include:

  • Maintaining inventory.
  • Purchasing materials.
  • Reporting maintenance needs.
  • Updating calendars.
  • Preparing documents/reports.
  • )ther general support as needed.

Other Work Responsibilities

  • Serve as the Front Desk receptionist for the Gage Undergraduate Admissions Center which serves over 28,000 guests per year.
  • Provide a friendly welcome connecting guests with appropriate people and/or campus resources.
  • Ensure the admissions center has the materials necessary to operate daily, conducting regular inventory of materials, ordering and restocking as needed.
  • Update Google Calendar to reserve rooms for tours and events.
  • Submit maintenance requests for the Gage Undergraduate Admissions Center through university reporting systems and follow up with appropriate parties.
  • Utilize office technology to communicate information efficiently, especially the Google Office Suite and Microsoft Office Suite.
  • Serve as a role model and mentor for student workers on the Visit Team.
  • Other duties as assigned.

Departmental Preferred Experience, Skills, Training/Education

  • Bachelor's degree preferred.
  • 1-year in an administrative role providing excellent guest service in a professional work setting, preferably guest facing.
  • Experience with a CRM, Customer Relationship Management program (preferred), and/or computer programs such as the Google Office Suite and Microsoft Office Suite which help businesses manage sales, marketing and/or customer service.
  • Demonstrated organizational and multitasking abilities.
  • Experience in ordering and/or inventory management.
  • Familiarity with UNC Charlotte or enrollment management in higher education.
  • Attention to details needed.
