Position Title: Senior Administrative Assistant

Location: Munising, MI

Description:

The Munising Mill is actively pursuinga Senior Administrative Assistant that provides comprehensive support to the Human Resources team while also assisting the Operations leadership team. The ideal candidate will be highly organized, detail-oriented, and excel at multitasking. Additionally, the ideal candidate will have a strong interest in developing and growing within the Human Resources function. Key responsibilities include setting up meetings, coordinating employee engagement activities, coordinating charitable contribution requests, preparing and maintaining various files in Microsoft Office and related applications, and supporting the overall administrative functions of the mill leadership team to ensure seamless day-to-day operations.

responsibilities:

Administrative Support

  • Assist with HR processes such as recruitment coordination, onboarding, internal postings, and other tasks as assigned by the Human Resources Manager.
  • Provide day-to-day administrative support to the mill leadership teams, including handling correspondence, filing, and document management.
  • Maintain an organized system for tracking training records, department records, and other documentation.
  • Process incoming and outgoing mail, including sorting and distribution.
  • Manage office supply inventory for the site.
  • Maintain team organization charts and telephone directory.

Meeting Coordination

  • Schedule and organize meetings, including coordinating availability, booking conference rooms, scheduling interviews, and preparing necessary materials. Includes booking offsite meetings when needed.
  • Prepare and distribute meeting agendas and schedules and follow up on action items as required.
  • Order food and materials as needed and be available for on-site support.

Travel Coordination

  • Work with local teams to plan visits and coordinate meetings.
  • Ensure travel plans are cost-effective and meet the company's travel policy guidelines.
  • Handle all functions related to scheduling the company vehicle for travel.

Expense Management

  • Assist team with purchase requisitions; including req creation, routing and approval where necessary.
  • Coordinate check requests

Document Preparation and Management

  • Write and edit reports, presentations, and other documents as needed.
  • Be an expert within the team for Microsoft Office and PowerPoint, helping ensure documents and presentations are professionally formatted and organized.
  • Organize and manage SharePoint, Teams, and OneDrive file / document sharing sites.

Project Coordination

  • Support various departmental projects by managing timelines, coordinating resources, and ensuring project milestones are met.
  • Communicate with cross-functional teams to ensure project alignment and collaboration.
  • Assist with special projects across the team as needed. Serve as team member on projects and occasionally lead projects across cross-functional teams.

Communication

  • Handle inquiries and requests from internal and external stakeholders professionally and efficiently.
  • Manage internal departmental communications across the team.
  • Maintain internal team communication boards, newsletters, etc.

qualifications:

  • 3 - 5 years of office management experience required
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent verbal and written communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • High attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team. Strong collaboration skills required.
  • Ability to work onsite during core business hours. The role is not eligible for remote work.
  • Bachelor's degree is preferred, but not required.
