Pay Grade/Pay Range: Minimum: $18.32 - Midpoint: $21.97 (Hourly N4)

Normal Work Schedule: Monday - Friday 8:00am to 4:45pm

Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.

Additional Department Summary: Under moderate supervision, assists the External Relations Team for the College of Arts and Sciences. Supports the College Scholarship and Stewardship Coordinator in a limited capacity. Oversees the general office, administrative and secretarial duties with some variety and complexity, including processing and recordkeeping of monetary donations. Receives, screens, and routes telephone calls, mail and visitors. Arranges itineraries/agendas. Assists in planning meetings/events. Set up and maintain files (database and/or hardcopy). Compiles data and prepare reports. Purchase office supplies and materials. Maintains records. Acts as daily liaison to other offices.

Provides high level administrative support to the External Affairs team. Process monthly donor gift acknowledgements. Maintains records and membership lists of multiple support boards. Compiles data from multiple sources for event invitation lists. Coordinate RSVP lists. Oversees and processes all proceeds from two large fundraising events for the College of Arts and Sciences. Handles travel arrangements and reimbursements for staff. Purchases items for meetings and donors. The College of Arts and Sciences has over 50,000 alumni, over 2,000 donors, and over $78 million in endowments.

Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate's degree or higher.

Skills and Knowledge: Detail oriented. Work with minimum supervision. Comfortable with UA and Microsoft Office Suite software. Flexibility to assist with other office activities. Ability to multitask and work efficiently under pressure. Excellent organizational skills.

Preferred Qualifications: Experience working with confidential records and information. Has customer service oriented experience.
