Job Title: Administrative Specialist
Department: Kids First
Classification: Non-Exempt

Hiring Range: $23.35/hour - $26.27/hour
Salary Range: $23.35/hour - $35.03/hour

Position Summary: Performs administrative, organizational, clerical, communication, and technical duties in support of the Kids First Department consistent with the organization's values and mission statement.
Supervision Exercised and Received: This position works under the direct supervision of the Kids First Co-Manager.
Essential Job Functions:
Administrative Support and Reception:
*Performs essential administrative support functions with minimal supervision. A variety of high-level functions may be required.
*Performs all receptionist duties for the department including greeting and assisting customers.
*Responds to customers request, send referral information, completing building maintenance requests, provide building access, input security credentials, organizing conference room space for meetings, order and distribute office supplies, maintain office equipment.
*Coordinates and maintains the department's long-range calendar.
*Support for financial aid, collect applications and documents, organize files, communicate deadlines to families and schools, follow up and collect feedback.
Facilities Support:
*Provide Yellow Brick building supports. Monitor, maintain, organize, and clean common areas, conference room and storage areas at the Yellow Brick.
*Communicate building information, reminders, and schedules to tenants and families.
*Support Maintenance Tech with written building work requests and follow up with building customers and tenants.
*Monitor building vending machines.
*Track and schedule Yellow Brick building inspections.
*Accounts payable and processing of check requests and payment of monthly operational billing for the Yellow Brick.

Outreach: communications, marketing, and event management
*Participate in event coordination, scheduling, logistics, communication, and promotion.
*Support for various department trainings, including EQIT, Parenting Counts, Annual In-service, CPR, First Aid - organize and manage registrations, communications, promoting and logistics, copying materials, purchasing supplies and food.
*Public outreach posts on Facebook (social media) schedule, update, solicit staff input, and make regular posts.
*Create and distribute flyers for events, meetings, and trainings.
*Maintain Kids First website, updates, solicit content from staff, create forms, and monitor links.
* Produce a bi-monthly web-based Early Childhood newsletter from solicited content.
*Proofreading staff reports, posts, public communication, forms, and emails.

Minimum Requirements:
Education: High School Diploma or GED equivalent.
Technical Knowledge: Proficiency in basic computer skills, Email, Microsoft programs.
Desirable Qualifications
*Associates or Bachelor of Science degree in business administration, human resources, information technology or related field.
*Proficiency in Power Point, Adobe Acrobat Pro and Web Content Management Systems.
*Bilingual in Spanish
NOTE: This position requires a Criminal Background Check upon hire. Employment is contingent upon successful completion of a Criminal Background Check.
NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge, and skills as determined by the City of Aspen may be substituted for the requirements above.
Position Type and Work Hours: Regular full time, 40-hour work week, Monday through Friday, hours may vary with workload however standard hours are 8:00am to 5:00pm.
Work Environment:
*Indoors: Office environment.
*Outdoors/Off-Site: Trainings and meetings.
Essential Physical Requirements:
*Lifting & Carrying: Occasional lifting, unassisted, up to 25 lb. boxes, books, files, etc.
*Physical: Reaching, standing, sitting, typing, talking, crouching, kneeling, seeing and hearing.
