Come join our GTE Financial team! We are looking for an organized, fast paced individual to join as the Office Services Specialist I. The Office Services Specialist I is responsible for overseeing the office supplies coming in and out of the credit union and distributing the same throughout the headquarters location and all other locations. Acts as a direct liaison between the credit union and suppliers, USPS, FedEx, UPS, credit union printers, couriers and other agents providing services for the credit union. This is an entry level role. What does GTE look for in an Office Services Specialist I? Mailroom Management:
- Responsible for effectively managing, sorting and controlling all mail and overnight correspondence both incoming and outgoing for the Credit Union.
- Responsible for effectively managing and controlling courier runs to postal locations and other special needs "runs."
- Responsible for managing and controlling office supplies and fulfillment requests.
- Maintains adequate inventory levels of supplies and printed materials for the entire credit union. Provides accurate usage reports on inventory levels and supply ordering and usage.
- Manages and provides reporting for office supply online system and mailroom.
- Responsible for operating and maintaining postal equipment and metering outgoing mail. Works in conjunction with the U.S. Postal Service and mail equipment / meter vendor(s).
- Regulates order requisition and releases for fulfillment. Acts as system administrator and trains staff on system, as necessary.
Administrative:
- Responsible for managing and controlling toner and maintenance kits for fleet of credit union multi-functional equipment.
- Maintains postage accounts at appropriate levels. Adjusts / replenishes escrow balances as needed.
- Prepares and GL codes invoices for Administration Department in preparation for payment and preliminary scanning to go to Accounts Payable.
- Reviews print orders, online supply orders and fulfillment requests for accuracy. Ensures proper authorization is provided.
- Completes printing and inserting jobs regularly to include but not limited to letters for the following: CUDL, Fraud, Member Resolution, Insurance Services, Member Care checks, accounting checks, Real Estate denials, HLA & GTE Mortgage disclosures, poster printing, and Community Educators booklets.
- Reviews billing / invoicing for accuracy.
- Effectively manages short and long-range inventories and future inventory needs
- Documents and updates mailroom procedures.
Customer Support:
- Assists other departments with special printing projects regularly and as needed. to include but not limited to letters for Account breach, Marketing, Charity, Dormant Account, Technology Solutions, and Member Loyalty.
- Sorts and distributes returned mail, placing flags on Member accounts utilizing OSI.
- Creates and updates signage for internal HQ purposes as well as cubicle/office name plate inserts.
- Ensures the confidentiality of all information and transactions regarding the organization, its members and its employees are held to the highest level of business ethics.
- Displays a cordial, friendly, happy, helpful and service-oriented attitude.
- Must demonstrate a functional knowledge of the Bank Secrecy Act in addition to other Federal laws, including but not limited to U.S. Patriot Act, Office of Foreign Assets & Control, Anti-Money Laundering, Right to Financial Privacy Act, and the Bank Bribery Act.
Required Qualifications:
- High school diploma or equivalent. Some college preferred.
- Minimum 0-2 years' experience or combination of education and experience.
- Must be knowledgeable of U.S. Postal regulations and rates.
- Must be proficient with spreadsheets and database.
- Lift up to 75 pounds.

- Location: Downtown Tampa - GTE Headquarters
- Department Hours: Monday- Friday (8:00 am to 5:00 pm)
