Position Summary

The Office of Admissions and Enrollment Development is dedicated to engaging with prospective students, fostering effective communication, recruiting new applicants, providing guidance and advising, and facilitating the re-enrollment of dual enrollment students upon high school graduation.

The Admission Support Specialist performs a wide range of administrative functions within the Office of Admissions and Enrollment Development, including the coordination of special Admissions functions on campus and in the community. These functions include providing comprehensive customer service and administrative support in person, via telephone, email, and virtually to students. The Admissions Support Specialist plays a crucial role in delivering exceptional assistance with information requests, processing admission applications and supporting documentation, and ensuring that all interactions are conducted courteously and accurately. This includes communicating with students, troubleshooting application submission issues, and assisting prospective and new students and their families. The Admissions Support Specialist is responsible for collecting data and managing databases to facilitate accurate reporting.

This position requires flexible hours including evenings and weekends to support activities and events at secondary schools and recruitment and community events.

Pay dates occur on the 7th and 22nd of each month. If those dates fall on a weekend, the pay date occurs on the Friday prior to the 7th and 22nd. As an employee of the college, you are eligible for a comprehensive benefits package.

In the best interest of the College, only individuals who are residents of Maryland or one of the following states will be eligible for employment at the college: Delaware, Pennsylvania, Virginia, West Virginia or the District of Columbia. The college will annually review this restriction and, if appropriate, expand the list of states of employment eligibility

Job Duties and Responsibilities

ADMINISTRATIVE SUPPORT:

- Assist in coordinating, establishing, maintaining and reporting on the Office of Enrollment Development and Admissions outreach and recruitment activities.
- Database creation and management for weekly, quarterly, and yearly summary reports derived from the following: Admission Officer Weekly Accountability Reports, International Admission Officer Weekly Accountability Report, and Admissions, Early College Access Program (ECAP), and Leads In-box inquiries.
- Establish and maintain schedule for front-office employees to ensure that we have adequate staffing and coverage to receive calls from the Response Center, front office triage, and to assist prospective and new students via the telephone, virtually, and/or in-person.
- Provide in-person and virtual administrative support for Personal Registration Days, Counselors Conference, Personal Enrollment Sessions, information sessions, Foundations of College Algebra (FOCA)/Math First and other activities as assigned.

APPLICATION SUBMISSION:

- Assist other AACC offices with application related questions and issues.
- Assist new applicants with the application process and next steps.
- Triage students and prospects to determine where they are in the application process and how to proceed.

INTERNATIONAL STUDENTS:

- Triage to determine status and needs of the international applicant/student.
- Update citizenship status in Colleague and remove international student holds.
- Review the appropriate checklist with the student/visitor and discussing next steps.
- Receive and reviewing international student document submissions, particularly MD Dream Act and F-1 student documents.
- Assist with managing in-person and virtual calendars for the DSO, scheduling appointments for students as necessary.
- Work with the DSO to ensure that checklists and handouts for international students are current and displays are stocked.
- Assist with general international student inquiries.

CUSTOMER SERVICE AND INFORMATION FULFILLMENT:

- Provide high-level customer service to students, campus community, and guests in-person, by telephone, email, text messaging, and virtually.
- Communicate and respond to prospective and current student inquiries in the Admissions, Early College Access Program (ECAP) and Leads (prospective) in-boxes.
- Assist prospective and new students in using the College website to answer general questions related to the admission application submission, financial aid, academic programs, and the MyAACC student portal.
- Learn and use enrollment technology to enhance the student enrollment experience, i.e., Ellucian Recruit and Colleague.

CALLING CAMPAIGNS:

- Organize and lead calling campaigns to encourage the completion of the enrollment process for Early College Access Program and Personal Registration Day participants.

PROFESSIONAL DEVELOPMENT:

- Participate in a plan of professional development to stay current regarding best practices for my profession, to have an understanding of current academic and career program offerings, requirements and school policies.
- Maintain positive professional networks for positive outcomes during conflict resolution and troubleshooting.

SERVICE TO THE COLLEGE:

- Serve on committees as assigned.
- Other duties as agreed upon.

Required Qualifications:

Associate Degree or higher.

Two or more years of experience providing administrative and customer service support in a college or university's Admissions Office in virtual and in-person environments.

Experience using Ellucian Colleague, Ellucian Banner, PeopleSoft or other higher education ERPs.

Demonstrated problem-solving abilities and conflict resolution skills.

Detail oriented and ability to perform at a high level with accuracy.

Demonstrated ability to work in a structured setting, with established goals, procedures and policies with positive outcomes.

Ability to travel throughout the county to provide support for enrollment initiatives with community partners, which requires access to a personal vehicle or other means of dependable transportation.

Strong interpersonal, written and oral communication skills. Ability to deal tactfully and effectively with students, faculty, administrators, government agencies, business/industry representatives, community organizations and the general public.

Ability to work flexible hours, including evenings and weekends to support the enrollment goals and needs of the college.

Preferred Qualifications:

Demonstrated experience in Excel and other Microsoft Office programs.

Experience using Ellucian Recruit.

Demonstrated experience supporting enrollment initiatives in a community college.
