HJF is seeking a Program Coordinator to provide administrative project oversight of a narrower scope under the direction of a supervisor. Coordinates budget and accounting, space management, travel coordination, inventory and purchasing. Completes more routine tasks independently and relies on guidance from higher Program Manager (PM) levels for more complex tasks.

This position is in support of the Biotechnology High-Performance Computing Software Applications Institute (BHSAI). The mission of the BHSAI is to perform interdisciplinary research, combining physical, computational, and life-science research, to improve the efficiency and efficacy in the development of militarily relevant medical products for Force Health Protection.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.


Responsibilities

  • Manages the coordination of meetings, to include scheduling, logistics and facility management.
  • Initiates the processing of purchase orders, supply sources, work orders and maintenance and renovation requests.
  • Formulates and manages tracking matrices for office personnel data, presentations and publications.
  • Manages travel arrangements, which include scheduling transportation and hotel reservations, arranging the schedule of visits, arranging for local transportation and preparing travel orders and reimbursements.
  • Communicates with internal staff and external customers. Negotiates with vendors and obtains quotes for equipment.
  • Assists in the management of administrative support tasks to include maintaining critical directories, resolution of facility issues, and preparing organizational documentation.
  • Assists with recruitment activities including screening and scheduling of interviews.
  • Assists with overseeing the life-cycle of equipment inventory by coordinating the acquisition and deployment and ensuring accurate tracking and reporting.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Qualifications

Education and Experience

  • Bachelor's Degree in business or a related field required.
  • Minimum of 0-2 years experience required.

Required Knowledge, Skills and Abilities

  • Strong written skills and proficiency with Microsoft Office Suite.
  • Ability to follow directions and work completely independently.
  • Posses strong analytical skills, be organized and attentive to detail.
  • Knowledge of organizational objectives, the federal budget process, office automation.
  • Exercise sound judgement in solving problems, ask questions, takes initiative.
  • Ability to obtain and maintain a T1/NACI Investigation.

Physical Capabilities

  • Lifting: Requires lifting materials up to 25 lbs.
  • Ability to stand or sit at a computer for prolonged periods
  • Ability to climb, pull, and lift heavy objects.

Work Environment

  • This position will take place primarily in an office setting.

Compensation

  • The annual salary range for this position is $50,100-$65,000. Actual salary will be determined based on experience, education, etc.
