We are seeking a detail-oriented and proactive Administrative Assistant to join our Boart Longyear team in Salt Lake City UT This role is critical in ensuring the smooth operation of administrative functions within the team. This is Temp to Hire position (90 day), with a potential for full time transition.

The Technology Support Coordinator will oversee the daily operations of technology support services within the organization, managing company phone systems, coordinating IT projects, and providing administrative support to the IT department. This role also includes vendor management, budget tracking, and contract administration. The ideal candidate will have excellent organizational skills, a customer-focused mindset, and the ability to communicate effectively across teams.

Key Responsibilities:



  • Phone Management:
  • Oversee the management of company phone systems, including setup, maintenance, troubleshooting, and addressing service issues.
  • Administer and maintain all cell phone accounts, including setting up new lines of service and terminating lines as needed.
  • Coordinate contracts and service agreements with phone service providers.
  • Vendor and Payment Management:
  • Manage all interactions with vendor payments, acting as a liaison between vendors and the accounts payable team to ensure timely and accurate payment processing.
  • Handle purchase order creation, receipting, and assist with budget administration and tracking.
  • Oversee contract administration, including maintaining documentation, coordinating reviews, and collaborating with the legal team for compliance and approvals.
  • Project Coordination:
  • Assist in planning and executing IT projects, ensuring alignment with company goals and timelines.
  • Collaborate with team members to track project progress and report updates to stakeholders.
  • Facilitate meetings, prepare agendas, and document meeting notes for project discussions.
  • Scheduling and Administrative Support:
  • Schedule and manage IT department meetings, book conference rooms, and manage related logistics.
  • Provide general administrative support to the IT department, including handling correspondence, maintaining records, and managing office supplies.
  • Maintain documentation related to IT processes, policies, and procedures to ensure compliance and efficiency.
  • Support the IT Manager in preparing reports and presentations for management.
  • Customer Support:
  • Serve as the first point of contact for IT support requests, addressing issues promptly or escalating as necessary.
  • Provide training and support to employees on various technology tools and software, fostering a positive user experience.
  • Build strong relationships with users to understand their needs and continuously improve service delivery.
  • Additional Responsibilities:
  • Perform other duties as assigned by IT leadership to support departmental goals.


Qualifications:



  • Associate's degree in Information Technology, Computer Science, or a related field (preferred).
  • Previous experience in a technology support or administrative role, particularly within an IT department.
  • Proficiency in Microsoft Office applications, especially Excel, and familiarity with IT support tools.
  • Knowledge of mobile device management, telecommunications, and vendor management is a plus.
  • Experience working in Oracle E-Business Suite is highly desirable.
