Job Responsibilities:

The Executive Assistant 1 compiles and maintains data/documentation to ensure availability of complete, accurate and current information. Composes, reviews, and prepares correspondences/presentations accurately and in a timely manner. Maintains calendars and coordinates meetings to ensure the most efficient and effective use of time and performs a variety of administrative activities to ensure the smooth and efficient operation of the office.



  • Organizes and tabulates data, often of a highly confidential nature, and maintains routine and/or specialized databases using Excel, Access or other specialized database applications.
  • Assists in the preparation of annual budget preparations while monitoring expenses.
  • Prepares, edits and proofreads letters, memorandums and presentations from drafts or independently.
  • Designs, formats and showcases presentations/documents using intermediate and advanced features of Microsoft Office applications (Word, Excel, Power Point).
  • Assists executive in time management by ensuring that meetings begin and end on time, building travel time into schedule and minimizing interruptions.
  • Compiles meeting agendas, gathers information from multiple sources and ensures that materials are assembled and distributed in a timely manner.
  • Coordinates internal and external meeting arrangements such as invitation/registration process, facilities, catering/logistics as well as travel and hotel arrangements as needed.
  • Serves as gatekeeper by screening visitors/calls, responding to inquiries or referring them to other team members, scheduling meetings/calls and following up.
  • May perform additional duties as assigned.


Additional Requirements:



  • Work Schedule: Full-Time
  • Education: High School diploma or equivalent
  • Experience: 3 years of relevant office experience including 1 year of reporting to a senior leader; Or Bachelors degree equivalent to 3 years of relevant experience
