We are seeking a Logistics Coordinator to join a leading global music and entertainment company that fosters the creative and commercial growth of artists across the globe. This organization operates at the intersection of music, culture, and innovation, supporting artists at every stage of their careers. They prioritize creating meaningful connections with fans through diverse channels, including direct-to-consumer (D2C) platforms, retail, and tours.
The Logistics Coordinator will play a key role in ensuring smooth and efficient operations across various channels, contributing directly to the success of artists and their businesses.
Key Responsibilities: - Logistics Operations: Provide end-to-end logistics support for D2C, Tour, Retail, and other distribution channels. Coordinate inbound and outbound goods processes, ensuring timely and accurate delivery to the final destination.
- Freight and Parcel Coordination: Arrange and oversee parcel and freight shipments, working closely with the Logistics Manager to ensure fulfillment center efficiency.
- Documentation Management: Create commercial invoices and prepare international shipping documentation.
- Tracking and Reporting: Maintain shipment schedules, tracking updates, and reporting using platforms like Monday.com. Prepare logistics reports and key performance indicators (KPIs).
- Vendor and Supply Chain Management: Ensure vendor compliance with organizational policies and provide onboarding/training. Purchase supplies, foster vendor relationships, and explore cost-saving opportunities through bulk discounts.
- Cross-Functional Collaboration: Liaise with the operations management team to confirm tracking, packing lists, and proof of delivery (PODs) while ensuring cross-team support and communication.
- Special Projects and Office Support: Take on special projects as assigned and provide coordination with local mailrooms and in-office operations.
- Forecasting and Inventory Management: Schedule supply deliveries and forecast vendor demand to ensure smooth production processes and minimal slowdowns.
- Team Development: Participate in cross-training initiatives within the operations team to ensure agility and knowledge sharing.
- Skills & Qualifications:
- Strong proficiency in Microsoft Office Suite and other computer systems.
- Exceptional attention to detail and organizational skills.
- Resourcefulness in obtaining information and solving challenges.
- Ability to analyze data and trends, making informed decisions based on insights.
- Excellent verbal and written communication skills.
- Strong teamwork mindset with a willingness to share ideas and methods for improving performance.
- Proven ability to prioritize, plan, and manage timelines in a high-pressure, fast-paced environment.
- Self-motivated with a proactive approach to taking on new responsibilities.
- Experience in consumer products, retail operations, or e-commerce is preferred.
- Logistics and transportation experience, as well as warehousing and distribution knowledge, is highly desirable.
- Bachelor's degree in Business, Logistics, or a related field is preferred.
- 1-2 years of relevant experience, ideally in the music or entertainment industry.
- Familiarity with order management systems, customer service processes, and managing data from multiple reporting systems.
