Title: Manager of Safety Reports to: Director of Safety Department: Human Resources Status: Full-Time, Exempt (Salary), Management Location: Arlington Headquarters 2116 Arlington Ave. Suite 100; Los Angeles, CA Supervises: Safety and Onboarding Generalist Schedule: Monday-Friday 8:00am-4:30pm Benefits: Medical, Dental, Vision, Retirement Planning (403b), Employee Assistance Program (EAP), etc. Summary: The Safety Manager is responsible for various training, vehicle management, guard contracts (along with the Director), invoice preparation, policy creation, facilitation of committees (with Director), compliance with federal, state, and local regulations. The successful candidate will be able to establish themselves as a key team player with a hands-on approach to creating a strong safety culture in organization structures that are often resistant and used to doing things the same way for years. This position requires a highly organized, people-oriented professional who thrives in a fast-paced environment with excellent customer service and collaboration skills. Essential Duties and Responsibilities: * Must own the role and functions within their scope and be willing to assist where needed. Excellent file organization and will be trusted to move quickly through vast projects of updates to vehicles, training, data entry, report running, invoice review and preparation, scanning, filing etc. * Knowledge of paper and electronic filing systems, and must be able to use HRIS Day force and other programs at a highly efficient level * Will often need to use and organize using excel, outlook, calendars, and other software and office equipment. * Presenting weekly for NEO in Safety, and any other NEO/PLO/PLA/Safety Committee/In-Person capacity is required. * Will have access to confidential information and must become dependable with a respect to confidentiality and policies and creation/editing of such. * Will be required to liaison with GVS and other guard programs as assigned. Will need to review invoices, review safety issues, recommend replacing guards etc as needed. * Will need to be familiar with OSHA practices, guidelines and responses required along with OSHA overall reporting for 300A and other logs. Reporting, compliance and completion of these logs will be a team effort. * Knowledge and ongoing learning of best practices of Safety, and Workplace Violence programs will be needed. * Data entry, responding to emails in a timely manner and responding to COVID/illness related absences will be heavy aspects of the role. Will need to schedule and coordinate vehicle estimation and repair. * With the Director, implement and coordinate the safety program for the operation, and monitor work processes and procedures to drive org performance toward safety goals * Conduct or support employee training as required by local, state, and federal regulations as well as those required by policies or procedures * Develop, evaluate, and train to the health and safety of standard work, work permits, confined space, fall protection, hazard communication, PPE, first aid/CPR, industrial hygiene, and hazardous material/emergency responses * Lead the managers in all functions to monitor compliance and conformance to Health and Safety policies and management systems * Lead investigation and analysis of near misses, accidents, injuries, and incident trends as reasonably possible * Facilitate training for all personnel on safety processes and practices, new initiatives and injury and accident avoidance. * Conduct inspections of equipment for appropriate site protections, occupational hazards, de-escalation, safe operations, and safe working processes along with the operations team * Perform internal audits to identify non-compliance, hazardous conditions & unsafe behaviors; audit scope includes processes, facilities and equipment. Conduct site safety audits as necessary (visit at least 6 sites per calendar year, rotating to provide safety presence and spread knowledge) * Develop, prepare, and present clear, concise and organized materials for reporting, communicating and training with the Director * Lead special projects to improve health and safety goals * Along with the Director, maintain the OSHA 300 Log and ensure it remains compliant with OSHA regulations * Assist HR with the management of workers' compensation * Other duties as assigned Qualifications: * 3-5 years working in safety, occupational health, public health, industrial hygiene or another safety-related concentration in a human-services environment preferred * 3-5 years leading safety teams formally or informally; demonstrated experience in the application of safety management systems preferred * Experience working in areas where potentially harmful physical situations and behaviors are present (e.g. clients escalated, on drugs, acting unsafe, skid row-conditions, fumes, dust, heat and chemicals). * Experience with incident investigation and root cause analysis to identify safety issues * Analytical with strong troubleshooting skills, ability to efficiently work in a high-paced environment * Strong communication skills including written, oral and presentation skills necessary to effectively convey information to and/or influence a wide range of audiences, including all levels of the organization * Knowledge of or ability to learn to work with our databases and systems, including DMV, Report creations, Sharepoint, Dayforce, DynaFile, Relias, and DocuSign preferred * Excellent attention to detail. * Able to maintain confidentiality and exercise good judgment in sensitive situations. * Willingness to train and continuously improve skills * Ability to be adaptable in a high stress environment * Willing to collaborate take direction for the purpose of meeting company goals * Able to be precise, thorough, and detail-oriented. * Able to manage multiple tasks and responsibilities and meet deadlines. * Strong organizational and written and verbal communication skills. * Exceptional customer service orientation. * Basic skill in math. * Must be able to work in-office in the Arlington HQ at least 4 days a week and drive to various sites in emergency or planned situations as needed. * Able to demonstrate proficiency in MS Office, including Excel, Outlook and Word. * Minimum 40 WPM+ typing/data entry speed required. * Able to obtain and maintain CPR/First Aid certification. * Bilingual Spanish/other is a plus. * Ability to drive to sites in OSHA/Workplace Violence/Injury events where on-site inspection and assistance will be helpful. This will not entail every/most injury situations.
Work Environment: 1. Primarily indoor office environment. 2. On occasion drive or transit to different local sites. 3. Regularly required to sit, stand, bend and occasionally lift or carry up to 15 pounds. 4. May necessitate working in busy and loud environments. 5. May be exposed to elements like cold, heat, dust, noise, and odor. 6. May need to bend, stoop, twist, and sit throughout the day.
