DOE Administrative Assistant - MUST HAVE a Q or TS Clearance

Harkcon, Inc. is seeking to add an experienced Administrative Assistant to our National Security and Intelligence team, supporting a key customer within the Department of Energy (DOE) / National Nuclear Security Administration (NNSA). The Administrative Assistant will provide high-level administrative and managerial support to upper management within DOE/NNSA. This position is full-time.

RESPONSIBILITIES

  • Provide a professional customer-oriented approach when dealing with the public and senior-level officials within DOE/NNSA, programs, functional offices, and field offices, national laboratories, and plants to provide support, advice, and service for actions, while exercising tact, diplomacy, and confidentiality.
  • Assist and/or manage the synchronization and coordination for scheduling calendar events for the Associate Administrator and two Deputy Associate Administrators, and apprise the Chief of Staff of relevant organizational issues (i.e., last minute schedule changes or meetings cancelled or moved).
  • Assist in preparing correspondence for Associate Administrator's signature concurrence, review for accuracy and completeness, conformance with style, format, or procedural requirements and guidelines.
  • Establish and maintain office files, track for synchronization, coordination, and timely execution of NA-MB actions via the Electronic Document Online Correspondence and Concurrence System (eDOCS) for assignment to NA-MB internal organizations.
  • Provide interface with other NNSA support services (i.e., synchronization, coordination, and timely execution of scheduling meeting space and call in numbers).
  • Responsible for handling quarterly NNSA Graduate Fellowship Program (NGFP) meetings which includes reserving conference spaces, coordinating building access with security, and escorting special visitors to proper locations
  • Prepare various briefing materials and books, and develop reports and analytical tools to include side-by- side comparisons and summary documents
  • Edit and produce final copy of formal correspondence, correspondence summaries, briefings, reports, and a wide variety of other analytical, process flow, financial spreadsheet, narrative, tabular and statistical documents.
  • Review documents for Director's signature, coordination or concurrence for accuracy and completeness, conformance with procedural requirements and guidelines.

MINIMUM REQUIREMENT

  • A Bachelor's degree + 5 years of experience or high school diploma + 9 years of experience
  • Active DOE "Q" or DoD Top Secret clearance.
  • Strong organizational, time management, and attention to detail skills.
  • Excellent verbal and written communication skills.
  • Must have 2+ years of demonstrated foreign travel experience.
  • Strong Microsoft Office Suite experience to include Word, Excel, PowerPoint, and SharePoint

DESIRED KNOWLEDGE, SKILLS & ABILITIES

  • 3-6 years of demonstrated foreign travel experience.
  • 5-8 years of experience working in a front-office or office management position.

LOCATION: This is in Washington, DC and will initially be an onsite 5 days/week position. There is the possibility of a hybrid work environment once our gov't client is comfortable with the team's productivity.
