Overview

We are seeking an Executive Assistant to support the Deputy Assistant Secretary of the Navy (DASN) team located at the Pentagon, in Arlington, VA. This position is 100% onsite.


What will you do?

The primary functions of this Executive Assistant would encompass the following:

  • Provide executive-level assistance in program planning, scheduling, document development, edit and review, to include preparation of point and talking papers, executive summaries and executive correspondence for ASN (RD&A), Chief of Naval Operations (CNO), Commandant of the Marine Corps (CMC), SECNAV and Secretary of Defense (SECDEF).
  • Manage all SECNAV and OSD taskers, congressional reports, letters, SECNAV and OSD instructions, Commissioning and Christening packages, Acquisition Gate Reviews for ship platforms, waiver packages, acquisition plans and strategies and congressional correspondence.
  • Provide a daily update on legislative, policy and procedural matters.
  • Provide program management expertise in support of program execution.
  • Prepare documentation.
  • Provide input to the government for Acquisition Milestone review preparation.
  • Provide support for government Program Reviews and other program level meetings, to include preparing presentation pre-brief reviews, coordinating the meetings, and sending out invitations and taking meeting notes.
  • Conduct research for special studies and analyses.
  • Assist in strategic planning and development of strategic initiatives, business practices, and recommend acquisition and business process improvements.
  • Provide liaison functions with DON, DoD and other agencies and organizations.
  • Utilize DON correspondence and tracking systems (e.g. DON Tracker).
  • Prepare documents using either Congressional or DON executive and standard formats as indicated by the COR.
  • Coordinate, collect, consolidate and analyze information contained in various databases and information collected during data calls.
  • Receive direction from directors and personnel for classified and unclassified action items and draft responses for government approval.
  • Handle classified material and documents of varying security classifications in accordance with the security classification manual or DoD or DON security instructions, directives or documentation.
  • Prepare draft response to actions in a variety of formats including email, internal memoranda and official correspondence using both Congressional, DON and DoD executive or standard formats.
  • Conduct director-level action item tracking. Coordinate with directors and external agency personnel to facilitate completion of action items. Coordinate with designated lead director for action item closure and help devise strategies to execute completion.
  • Utilize DON correspondence tracking systems (DON Tracker) to manage all SECNAV, OSD and other external organizational taskers to include but not limited to: Congressional taskers; instructions, notices, manuals and acquisition correspondence.
  • Draft briefings and concept papers by compiling data and coordinating inputs and submit to the government for approval.
  • Schedule and manage external and external meetings, teleconferences and program reviews.
  • Manage and maintain quality control of official files and shared online library. Manage data and file documents in accordance with official DON records management guidelines.
  • Maintain daily liaison with Flag and SES level managers; provide executive level administrative support; receive and process incoming correspondence, reports, and instructions; implement and maintain an information system for control of all related program office documentation prepare and send government visit requests.
  • Maintain office supply inventory and provide list to the government to reorder supplies as necessary.
  • Prepare Defense Travel System (DTS) travel, daily binders, and daybooks for senior executives as required.
  • Handle all aspects of onboarding and the checkout of personnel to include permanent staff, rotational staff and visitors.
  • Interface with Naval Warfare Centers and laboratories to ensure executive correspondence and on research, development, test and engineering acquisition programs, processes and services are completed.

Do you have what it takes?

Required skills:

  • 4 years of SES-level executive assistant experience;
  • Excellent communication skills, written and verbal;
  • MS Office skills (Word, Excel, PowerPoint, Outlook and OneNote);
  • Must have a working knowledge of government travel system (DTS), policies and procedures. Possess experience and knowledge in proofreading and editing documents that are highly technical in nature which were created by others to ensure proper format, grammar, and style. Must possess excellent communication, customer service and telephone skills;
  • Must have active DoD Secret Clearance and ability to maintain one.

Preferred skills:

  • Experience working at the Pentagon;
  • Navy SES experience;
  • ASN RD&A familiarity.

Pay Range: VTG's estimated starting pay range is $80,000 to $100,000 annually, which is a general guideline for the geographic location. When extending an offer, VTG also considers work experience, education, skill level, market considerations and may possibly include contractual requirements which may cause an offer to fall outside of this range.
