SPECIAL NOTICE REGARDING THE WORK LOCATION OF THIS POSITION-Although WestEd provides the option of working at one of its facilities for employees, many roles allow employees to choose to work remotely for their own convenience. Position Overview:

The IT Assets & Facilities Support Specialist will play a vital role in maintaining the functionality, organization, and efficiency of our technical, virtual, and office environments. The ideal candidate will be responsible for managing IT software spreadsheets, tracking purchases, and delegating tasks as necessary to assist the IT Asset Management team. This individual will also manage supply inventories, coordinate mail services, provide meeting support, oversee hoteling spaces, assist in the onboarding and exiting processes of onsite employees, liaise with multiple departments, and support security and emergency response efforts necessary to assist the Property and Facility Management team.

Washington,DC Office Based (Onsite at least 4 days/ week)

Responsibilities:



  • Serve as a liaison between Property and Facility Management, IT departments, and staff, effectively communicating relevant information and resources.
  • Order and manage office supplies for various areas including break rooms, meeting spaces, and general office use, ensuring optimal stock levels without excess.
  • Oversee maintenance of copier and printer supplies, such as toner and paper.
  • Coordinate and process USPS mail and UPS shipments, including troubleshooting service interruptions and coordinating pick-ups.
  • Provide support for meetings, including furniture arrangements, orientation to meeting room equipment, and support for catering services.
  • Maintain meeting room equipment, troubleshooting when needed, ensuring operational readiness.
  • Monitor and replenish equipment inventory for hoteling spaces, coordinating with the IT department to replace missing items like mice, keyboards, and monitors.
  • Reset hoteling spaces to a functional state after use and assist visiting staff with hotel equipment.
  • Manage the onboarding and offboarding process regarding workspace assignments, distribution, and collection of WestEd assets including keys. Computers, and access credentials.
  • Assist IT with the deployment and recovery of technology equipment.
  • Partner with IT Asset Management to maintain relevant IT inventory.
  • Support Facilities with workspace configurations and cleaning needs.
  • Manage IT software spreadsheets and ensure proper tracking of software licenses and assets.
  • Handle purchasing office supplies and IT equipment, seeking cost-effective and sustainable options.
  • Promote sustainability by supporting e-waste collection and encouraging environmentally friendly practices.
  • Organize and maintain a secure inventory of keys and access credentials.
  • Support emergency response management by maintaining emergency supplies, disseminating emergency procedures, and coordinating drills.


Must-Haves:



  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to prioritize tasks effectively and handle multiple responsibilities.
  • Ability to work independently with limited oversight and in a team environment.
  • Proactive in identifying issues and taking appropriate action to resolve them.


Preferred Experience:



  • Experience working in an office environment, preferably with a background in IT, facilities, or office management.
  • Experience supporting meetings, conference rooms, and hoteling spaces.
  • IT experience with a strong understanding of IT hardware and software management.
  • Asset Management experience is preferred.
  • IT Software Asset Management experience is highly desirable.

SALARY AND BENEFITS:

The full salary range for this position, WestEd level 7, is $65,600 to $98,400 but WestEd does not typically hire at or near the top of the salary range. The typical hiring range for this role is $65,600 to $82,000. The actual offer takes into account multiple factors including but not limited to education; experience; internal equity, and other organizational needs.

In addition to the base salary, benefits include:



  • 15% contribution toward retirement effective day 1 of employment
