Job Summary:

The Benefits Service Specialist is responsible for the administration of employee benefits programs, including health insurance, retirement plans, wellness programs, and other employee perks. This role involves managing benefits enrollment, addressing employee inquiries, ensuring compliance with relevant laws and regulations, and maintaining accurate records.

Key Responsibilities:



  1. Benefits Administration:


    • Manage day-to-day operations of group benefits programs (health, dental, vision, life insurance, disability, retirement, etc.).
    • Coordinate benefits enrollment and renewal processes, including open enrollment periods.
    • Assist employees with benefits-related issues and inquiries, providing information and guidance on available options.
    • Pension Filings
    • Dea PTO refunds
    • Life Insurance claims filing


  2. Compliance and Reporting:


    • Ensure compliance with applicable laws and regulations, including ERISA, COBRA, FMLA, ACA, and other relevant legislation.
    • Prepare and submit required reports and filings, such as 5500 forms and nondiscrimination testing.
    • Maintain and update benefits documentation, policies, and procedures.


  3. Employee Support and Communication:


    • Conduct benefits orientations and educational sessions for new hires and existing employees.
    • Develop and distribute benefits communication materials, such as newsletters, emails, and informational brochures.
    • Serve as the primary point of contact for employees regarding benefits-related questions and concerns.


  4. Vendor Management:


    • Liaise with benefits vendors and service providers to ensure timely and accurate administration of benefits programs.
    • Review and evaluate vendor performance and services, making recommendations for changes or improvements.
    • Assist in negotiating plan rates and contracts with benefits providers.


  5. Recordkeeping and Data Management:


    • Maintain accurate and up-to-date employee benefits records, ensuring confidentiality and data integrity.
    • Utilize HRIS and benefits administration systems to manage benefits data and processes.
    • Generate reports and analyze benefits data to identify trends and areas for improvement.


  6. Wellness and Employee Engagement:


    • Open enrollment event planning management.
    • Coordinate wellness programs and initiatives to promote employee health and well-being.
    • Organize and support employee engagement activities related to benefits and wellness.


  7. Other Duties as Assigned:


Qualifications:



  • Highschool Diploma
  • Human Resources, Business Administration, experience or a related field.
  • 1-3 years of experience in benefits administration or a related HR role.
  • Knowledge of benefits regulations and compliance requirements.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in HRIS and benefits administration software.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Certification in benefits administration (e.g., CEBS, PHR, SHRM-CP) is a plus.


Working Conditions:



  • Typical office environment with occasional travel to benefits-related events and meetings.
  • Full-time Hybrid position with standard working hours; additional hours may be required during peak periods (e.g., open enrollment).
