ABOUT US:

The Schwartz Center for Compassionate Healthcare's mission is to partner with healthcare organizations to advance compassion for patients, care teams, and their healing relationships. We are a Boston-based nonprofit with national and international reach, with approximately 600 hospitals in the US, Canada, Australia and New Zealand as members, and another 320 hospitals/systems conducting Schwartz Rounds throughout the UK and Ireland. Together, we are helping hundreds of thousands of healthcare professionals provide compassionate care to millions of patients and families. The Schwartz Center's strategic priorities for the coming decade include expansion of Schwartz Rounds within existing members, as well as to new acute care hospitals and into adjacent healthcare markets such as ambulatory centers, retail health, and virtual/home-based care. We are also looking to strengthen our community of compassionate care champions, who are the clinical leaders running our programs across the globe, and to further develop our Model for Compassionate Care and associated tools and resources. We are looking to build new relationships, collaborations, and partnerships with a wide variety of external organizations and associations who are aligned with our work supporting caregiver well-being and patient/family compassion. Our operational budget is funded approximately 50% by philanthropy, with funds coming from individual, corporate and foundation donors, and 50% by earned revenue, including from our membership. Our vision for the coming decade is to be a global leader in championing compassion for all who seek and provide healthcare.

You love planning and managing events, from planning to implementation to follow up. You have a creative mindset and enjoy collaborating with multiple constituents on bringing a multi-faceted project to fruition. You have an entrepreneurial mindset to keep event expenses low while delivering on the promise of an engaging and seamless experience for our donors. You have strong interpersonal and written communication skills, attention to detail, project management skills and the ability to collaborate effectively with other team members. ABOUT THE WORK:
The Events Coordinator will play an integral role in helping the Schwartz Center meet its annual fundraising goals. The Coordinator will work closely with the Director of Individual Giving and Chief Development Officer to plan and execute events of various sizes and ensure that appropriate follow up is conducted. Job responsibilities focus on the overall execution and delivery of a full portfolio of stewardship and cultivation events designed to raise awareness of the impactful programs offered by the Schwartz Center, engaging supporters in a variety of creative and strategic ways and ultimately increasing philanthropic revenue for the Center.

Primary Responsibilities

Events Coordination/Management (80%)



  • Coordinate activities related to all Schwartz Center events, including annual fundraising events, receptions, and small dinners ranging from intimate to hundreds of guests.
  • Collaborate with the Director of Communications to ensure that event messaging and event-related materials, including programs, save the dates reminders, invitations and follow-up emails, are crafted and sent in a timely manner.
  • Produce standard event communication and mailing lists from Atlas (Raiser's Edge), the Schwartz Center's CRM database.
  • Request and coordinate more complex data lists and ensure data integrity needed to establish effective event communications (e.g. event invitation lists).
  • Track all event RSVPs and event activity in database.
  • Assist in developing materials for each event which may include print, digital and video formats.
  • Coordinate production for in-person and virtual events/meetings and effectively solve problems with confidence and ease. Support technology needs at each event.
  • Organize follow-up tasks for all events in coordination with the Development Team with the goal of strengthening donor engagement, identifying and following up with new prospects, and increasing opportunities for volunteer involvement.
  • Manage travel arrangements associated with events (e.g. development staff and/or guest speakers).
  • Develop and maintain relationships with third-party vendors and internal resources and facilities.
  • Adhere to project timelines to drive deliverables and deadlines for each event.
  • Adhere to expense budgets for all events. Coordinate tracking and reconciliation of expenses with an eye toward identifying cost-saving opportunities for future events.
  • With guidance from the Chief Development Officer, implement the strategic and long-range plans for donor events with a commitment to excellence, originality and relevance to Schwartz Center audiences.
  • Represent the Schwartz Center on the Mass General Brigham Events Council, developing relationships with counterparts in peer institutions for benchmarking and awareness of leading methods, techniques and trends; proactively recommend improvements to existing programs.
  • Document and update business rules and processes.
  • Occasional evening, weekend work and travel will be required.


Other Duties (20%)



  • Working closely with the Director of Individual Giving to support our volunteer councils, the Leadership Council and Future Leaders Advisory Group (FLAG)
  • Work collaboratively with the Development Team and Executive Assistant to provide office and administrative support back-up as needed.

Qualifications

WE'RE A GOOD FIT IF YOU HAVE:



  • Two or more years' experience in events, preferably in development or a related field. Experience may be volunteer or community based.
  • Bachelor's degree or equivalent experience required.
  • A customer-service approach to serving donors and colleagues.
  • Strong dedication to the mission and programs of the Schwartz Center
  • Demonstrated ability to successfully implement an array of events - large and small in scale, virtual and in-person, on-site and off-site.
  • Excellent organizational skills and ability to prioritize multiple responsibilities; meticulous attention to detail and excellent time management skills.
  • Excellent verbal and written communication skills with the ability to listen and express ideas and thoughts effectively.
  • Warm, professional demeanor; positive and helpful attitude; flexible, with an optimistic approach to new challenges.
  • Ability to interact positively with a wide range of constituencies in person, via Zoom/Teams, telephone, email and in writing.
  • Demonstrated ability to take initiative and work independently, manage multiple priorities, follow through on projects and be proactive and solution-oriented.
  • High level of integrity and demonstrated judgment.
  • Ability to work as part of a highly efficient team in a fast-paced, collegial atmosphere.
  • Basic skills with electronic or online systems for communication, clinical and administrative purposes. Preference for experience with Blackbaud CRM or similar database.
  • Flexibility to work some evenings and weekends as necessary.
  • Desire to be a part of an organization that is creating a better healthcare world.
