Job Description:


Summary

The Candidate Experience Coordinator has a passion for building strong candidate relationships at every stage of the hiring process. This role will work closely with candidates, applicants, employees, key business stakeholders, managers, and a team of recruiters to help ensure candidates have a positive experience through our recruiting and on-boarding process. This position is an integral partner in our recruiting activities and directly contributes to building strong candidate relationships; often providing candidates with their first impression of G3.

Essential Functions

This job description reflects management's assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned.

* Candidate Coordination Responsibilities:

* Ensures a seamless candidate experience from start to finish.

* Acts as a brand ambassador for G3 by exuding the cultural values and beliefs.

* Develops strong trust and relationships with recruiters and business leaders across the organization.

* Identifies opportunities for improving candidate experience and scheduling efficiency.

* Opens job postings in ATS and posts to applicable websites, including targeted job boards, as needed.

* Provides appropriate follow-up correspondence to candidates on recruiting status via phone, text messaging, social media, and/or email.

* Tracks recruiting activities and provides candidate status to recruiters.

* Efficiently schedules phone interviews, and video and on-site interviews; provides high-touch communication with candidates to give them the best insight into the interview process.

* Coordinates candidate travel, as needed

* Prepares accurate and on-brand interview agendas and related materials.

* Distributes candidate and hiring panel information.

* Sets up interview rooms and any necessary technology/equipment.

* Manages the candidate onsite experience by providing exceptional hospitality, including greeting candidates and/or guests, ensuring interviews begin and end on time, and guiding candidates between meetings.

* Establishes rapport with candidates and hiring managers during the interview process.

* Coordinates the post-interview debrief meetings and provides debrief materials.

* Arranges candidate travel reimbursement with AP team. Diligently tracks through to reimbursement.

* Reviews and manages new hire offer documents.

* Conducts and oversees pre-employment activities (offer letters, new hire paperwork, drug screening appointments, and background checks).

* Provides support with the coordination of Recruitment events including job fairs, high volume recruitment events and seasonal hiring.

* When needed, reviews resumes and may conduct phone interviews with candidates

* Provides support or may lead special projects (SuccessFactors/ATS, internal audits, I-9 compliance, employee file administration)

* Supports or may lead New Hire Orientation activities.

* Updates candidate records and job postings in recruiting systems and confirms new hires.

* Responsible for processing Recruitment invoices and cost center reconciliation if required.

* College Recruiting Coordination Responsibilities:

* Downloads and forwards resumes from schools, as needed.

* Schedules all on-campus interviews, phone screens, remote video interviews, and onsite interviews.

* Coordinates support for recruiters on campus initiatives including career fairs, networking receptions, student club events, and on-campus interviews.

* Plans, organizes and executes recruiting conference events

* Organizes catering and wine delivery for campus events.

* Coordinates logistics for internship program, including, welcome and farewell events, lunch and learn opportunities with senior leaders, social activities/events for undergraduate interns, and final presentations.

* Conducts and oversees on-boarding activities (offer letters/other new hire paperwork, drug screening appointments, and background checks).

* Maintains satisfactory attendance, to include timeliness.

* Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations.

Qualifications

Minimum Qualifications

* Bachelor's degree; OR High school diploma or State-issued equivalency certificate and 4 years of administrative assistant, department assistant or coordinator, human resources or customer service experience reflecting increasing levels of responsibility; OR High school diploma or State-issued equivalency certificate and 3 years of G3 administrative assistant, department assistant or coordinator, human resources or customer service experience reflecting increasing levels of responsibility.

* Skilled in the use of MS Word, MS Excel, MS PowerPoint and MS Outlook.

* Skilled in quickly learning new systems and processes.

* Skilled in written and oral communication.

* Experience managing priorities while being adaptable and flexible.

Preferred Qualifications

* Bachelor's degree in business administration or in human resources and 2 years of administrative assistant, department assistant or coordinator, or customer service experience reflecting increasing levels of responsibility; OR Bachelor's degree in business administration or in human resources and 1 year of G3 administrative assistant, department assistant or coordinator, or customer service experience reflecting increasing levels of responsibility; OR High school diploma or State-issued equivalency certificate plus 6 years of administrative assistant, department assistant or coordinator, or customer service experience reflecting increasing levels of responsibility; OR High school diploma or State-issued equivalency certificate and 5 years of G3 administrative assistant, department assistant or coordinator, or customer service experience reflecting increasing levels of responsibility.

* Corporate Recruiting Experience.

* Knowledge of full lifecycle recruiting concepts.

* Passion for cultivating exceptional customer experiences.

* Experience managing demands, accepting criticism and constructive feedback, while being extremely adaptable and flexible.

* Skilled in quickly learning systems, processes, and procedures.

* Experience handling sensitive and confidential information appropriately.

* Skilled in reading, comprehending, interpreting and executing simple instructions, short correspondence and memos.

* Skilled in composing and formatting correspondence, business proposals and presentations.

* Skilled in adding, subtracting, multiplying and dividing using whole numbers.

* Experience using cloud-based applicant tracking system, preferably Success Factors.

* Experience meeting business needs, beating competitors, and operating within financial resource constraints.

  1. Hiring Hourly Rate: $26.63 - $33.27
  2. Actual compensation amount paid may be lower or higher to be determined by factors other than race and gender such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
