Financial Aid Clerk

Part Time @ 29 hours per week

Campus: Smyrna campus

Position number: B99588

Salary: $13.76-$15.76 per hour

Motlow State is located in the beautiful rolling hills of middle Tennessee and has four campuses that serve students from eleven counties. General Function:

Assist with the day-to-day operations within the financial aid office. Serve as a front-line personal contact for students and others with questions regarding the financial aid process at Motlow State. Maintain and update financial aid chatbot.

Minimum Qualifications:

High school diploma or equivalent; and, two (2) years' experience in a higher education setting. Additional post-secondary education from a regionally accredited institution may substitute for the required experience on a year for year basis up to two years.

Preferred Qualifications:

High school diploma or equivalent; and, three (3) years' experience in a higher education setting. Additional post-secondary education from a regionally accredited institution may substitute for the required experience on a year for year basis up to three; and, three (3) years' experience in a higher education setting working with financial aid; and, experience working with the Banner Financial Aid system and/or similar systems.

Major Duties and Responsibilities:



  • Assist with the management of assigned financial aid program(s) to include assisting with administration, processing, verifying eligibility, awarding, monitoring, and adjusting awards each semester; reconciling accounts; maintaining institutional compliance as required by program proponent organization and applicable statutes; and maintaining the student information system/Banner as related to assigned program(s).
  • Assist customers, via email, call center escalations, phone or walk-ins, with general questions about financial aid programs, processes, eligibility, refunds, impact of withdrawal or over awards. Elevates complex questions to Financial Aid Counselors or Financial Aid management.
  • Assist students and parents who require assistance with navigating the financial aid process or financial aid programs
  • Maintain and update the financial aid chatbot
  • Review documents received for accuracy and completeness
  • Maintains files accurately, in paper and/or electronic formats. Assists with the Records Retention and Destruction of financial aid data in accordance with established statutes and guidelines
  • Other duties as assigned



Knowledge, Skills and Abilities:



  • Knowledge of confidentiality statutes and policies as they apply to FERPA and financial aid programs
  • Maintains detailed current knowledge of federal/state/local/institutional financial aid programs, policies, procedures and funds
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
  • Communicate effectively, both in writing and verbally, with students, parents, high school counselors, fellow employees, college administrators, and other stakeholders
  • Strong computer skills, including but not limited to ERP (Enterprise Resource Planning) system(s) (Banner), word processing, spreadsheets, e-mail, database, and internet
  • Make presentations to diverse stakeholders including groups of staff, parents and students
  • Ability to use an imaging system to scan, index, and retrieve financial aid data and documentation
  • Ability to establish and maintain effective working relationships with other employees, outside governmental and community agencies, and the general public
  • Ability to contribute to a student focused environment and knowledge of college resources
