Location: Menasha, WI Position: Administrative Assistant Compensation:The annual base salary range for this role is from $43,010 to $50,600; position would qualify for overtime (Based on experience) PURPOSE OF POSITION: The Administrative Assistant will report to the Plant Manager and will work closely with members of the management and union leadership teams. This position will perform a variety of administrative tasks to support the efficient operation of the Menasha Paper Mill and its employees. ESSENTIAL RESPONSIBILITIES:
- Responsible for the timely and accurate coordination of the hourly plant payroll (UKG and Workday).
- Weekly scheduling of union employees.
- Including vacations, personal holidays, partner trades, call-ins, leave-of-absences' as needed.
- Act as the first point of contact regarding benefits for individuals in Menasha. Responds to employee questions in a timely manner (ex. insurance, short-term disability, etc).
- Act as a liaison between employees and corporate office. Collaborate with regional and/or corporate HR resources to ensure compliance and alignment with policies and programs for the organization to include recruitment, employment, compensation, benefits, and employee services.
- Facilitate temporary labor hiring (ex. summer students), new employee hiring, and support new employee orientation efforts with safety leadership.
- Setup new maintenance apprentices with the Department of Workforce Development. Track allowances for safety shoes and safety glasses for all employees and follow through on reimbursement as needed.
- Schedule yearly biometric screenings, hearing tests, and safety shoe truck events.
- Partner with hiring managers and corporate recruiter to successfully support hiring and onboarding process including conducting onsite pre-hire drug screening, orientation, and new hire paperwork.
- Review current processes to standardize work and collaborate with leadership to improve efficiency.
- Manage the processing, maintenance, organization and accuracy of employee files, documentation and Workday reports.
- Maintains HR related recordkeeping for plant (ex. disciplinary logs, calendars, pay rate/job changes, lines of progression, etc). Put up postings for new permanent position vacancies and for holiday notices and/or voluntary sign-ups. Tracks and informs supervisors of hourly performance review dates and submit EAN's for job changes with element trees as needed.
- Tracks and consistently informs supervisors of progressive discipline needed for attendance issues following the Union CBA. Support the DBI process as needed.
- Partner with Safety to assist with audits, safety training, etc. as needed. Run reports for accruals and enter safety hours during month end. Assist with annual enrollment process and respond to employee questions.
- Maintain effective communication and working relationships with all levels of the business unit. Provide vacation relief for the Office Manager (primary back-up) and plant purchasing positions as needed.
- Assist office manager with assigned administrative tasks such as report generation and disposition, mailing filing, work processing, etc.
- Lead special projects including offsite functions to support employee morale.
- All other duties as assigned.
ALLIED RESPONSIBILITIES:
- Coordinate and work closing with Talent Acquisition, Plant Leadership, and Employment Agencies. Administer pre-employment and random drug testing.
- Assist with the coordination of the Health Service provider.
- Assist 3rd party vendor, Matrix in Family Medical Leave administration.
Knowledge & Skills Required:
- Bachelor's degree required
- A minimum of 1 to 3 years of duties and responsibilities in a manufacturing environment. Experience with managing labor relations preferred.
- Willingness to relocate for developmental opportunities to advance career.
- Proficient and computer literate - Microsoft Word, Excel, PowerPoint, UKG, Workday, and Oracle.
- Have a high level of integrity, confidentiality, and ethical standards.
- Above average organizational and communication skills.
- Ability to work in a team environment as well as independently.
- Demonstrated ability to maintain credibility, confidentiality, and open/honest relationships.
- Work beyond normal work schedule as necessary to fulfill position responsibilities.
- Solid computer skills and proficiency in Microsoft Word, Excel, and Power Point.
- Experience in both Union and Non-Union environments preferred.
- Strong interpersonal skills are needed to communicate, educate, and provide support to employees.
