The Physical Plant is responsible for the day to day operations of a complex facility. It responds to the maintenance, repair and minor alteration requests of over 5 million square feet of space, 906 acres of improved and unimproved land with a multi-million dollar annual operating budget. Areas of responsibility include housekeeping, landscaping, motor pool,
HVAC, electrical, plumbing, locksmith, painting, carpentry, preventative maintenance, physical security and operations and information planning. |

Brief Summary of Work for this Position |
The Physical Plant Planner utilizes professional training and experience to leverage multiple computer systems and university resources, ensuring efficient, accurate, and high-quality preventative and planned maintenance. This role requires proficiency in office automation software and applications, including AiM, Windows, Outlook, and Tridium Niagara Building Automation Software. The Physical Plant Planner is responsible for establishing and maintaining effective working relationships while handling sensitive materials with discretion and tact. This position also provides consultation, support, and training for technology-based systems to supervisors throughout the facilities shops.
Responsibilities include:
- Supporting the university's preventive maintenance program.
- Coordinating with area supervisors to schedule preventive maintenance activities related to building maintenance and operations.
- Managing select repair projects by ensuring documentation is uploaded and accurate, implementing innovations to work order systems, improving processing, and tracking all inspections for projects in the area as they pertain to preventive maintenance and operations.
- Delegating work to shop staff or contractors in their designated area.
- Assisting in the creation of scope parameters, timelines, and action plans for projects in their assigned area.
- Organizing and managing the execution of certain Physical Plant service contracts.
- Monitoring the computer to triage incoming work requests with the building automation software, routing appropriately, and supporting users with difficulties.
- Performing other duties as assigned by the supervisor.
- Identifying trends in building systems through troubleshooting and monitoring, and reporting trends to upper management as appropriate.
- Completing follow-up calls to clients and alerting management to critical and time-sensitive issues and/or system outages.
This position is designated as mandatory personnel for the University and may be required to report to work during adverse weather conditions, even if the University is operating on an alternate schedule. This position may also assist in the removal of snow, ice, or debris as required.

Minimum Education and Experience Requirements |
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
Preferred education, professional skills and experience |
- Working knowledge of Facilities Management principles and practices.
- 2 years experience with in-depth utilization of Building Automation systems.
- Experience in scheduling and determining resource requirements in trades' occupations, planning work and organizing and executing multiple assignments under specific time constraints.
- Ability to work independently and as part of a team.
- Demonstrated knowledge and application of an automated Facility Management System (FMS) such as AiM, Tririga or Maximo.
- Demonstrated knowledge and application of maintenance techniques, scheduling and safety management.
- Good communication skills, both written and verbal, and problem-solving abilities..
- Ability to handle sensitive and confidential matters with discretion and tact.
- Excellent computer skills and experience tracking and analyzing data using information systems reporting tools using Microsoft office, with focus on Excel.
- Experience scheduling work tasks and determining resource requirements in a trades and maintenance environment.
