Position Description

The Human Resources Coordinator supports the HR department by assisting with onboarding and offboarding processes, benefits administration, performance management, and other programs and projects. The HR Coordinator supports day-to-day HR administration and helps maintain the accuracy and confidentiality of employee records while minding HR and company best practices and local, state, and federal laws. The HR Coordinator provides customer service to employees and provides guidance related to HR processes and policies. The ideal candidate is detail-oriented, organized, customer-service oriented, and a strong independent performer and teammate. They are passionate about refining existing and creating new resources, tools, and processes, contributing to the process of maturing our HR function.

Requirements

What You'll Do

Onboarding & Offboarding

  • Gather, process, and maintain new hire and benefits paperwork to ensure compliance with standard company procedures
  • Ensure all new hire onboarding tasks (e.g., paperwork, orientation schedule) and employee offboarding tasks (e.g., paperwork, exit meeting, HR/company record updates) are completed in alignment with TC protocols and HR checklists
  • Prepare employee documents (e.g., Employment Agreements, Separation Memos/Offboarding Documents, Wage Rate Memos, Promotion Letters)
  • Collaborate with IT, Office Services, and Finance & Accounting teams on HR employee-related actions/programs/processes
  • Serve as a member of The Clearing's Onboarding Team; provide meeting logistics support, conduct knowledge capture, make meeting design recommendations, and co-facilitate

HR Program Management Support

  • Administer the transportation benefits program (act as the liaison between HRIS and parking/transit providers, provide employee support, assist with FAQs)
  • Administer the performance management program (set up performance check-ins and annual reviews in the HRIS, track check-in and performance review completion, support employee communications, and provide annual review meeting support.
  • Administer annual HR compliance training (prep and send out training campaign, track compliance, and support employee communications)
  • Support annual open enrollment preparation, communication, and system and payroll updates
  • Support TC's wellness program by planning and coordinating corporate-wide events

HR Administration

  • Answer employee questions regarding benefits, payroll, policies, and HR programs and processes
  • Update and maintain employee records, including personal information in employee files and within the company's HRIS
  • Ensure compliance with record-keeping standards and confidentiality protocols
  • Support the HR and Finance & Accounting teams with payroll preparation (e.g., tracking timesheet submission/approvals, updating payroll administration file, and gathering all supporting documentation)
  • Respond to and complete employment verification requests
  • Provide general support for HR projects, such as employee engagement initiatives, training sessions, and required annual audits and reports
  • Assist with the implementation, training, and adoption of new HR tools to improve the efficiency, scalability, and effectiveness of the HR Department
  • Ensure compliance with federal, state, and local employment laws and regulations, such as EEO, FMLA, and ADA requirements, and assist with the completion of required reports
  • Support HR policy creation, implementation, and communication to employees

What You'll Bring

  • Bachelor's degree preferred but not required
  • 3+ years of professional work experience, preferably in an administrative role
  • Attention to detail, critical thinking/problem-solving skills, organizational and time-management skills, strong interpersonal skills, and effective written and verbal communication skills
  • Proficiency in spreadsheet, presentation, and internet research tools; familiarity with Google Suite is a plus
  • Demonstrated ability to maintain confidentiality and practice discretion
  • Flexible and adaptable mindset to operate effectively in ambiguous, fast-paced, high-stakes environments
  • Must be legally eligible to work in the United States, now and in the future, without the need for visa sponsorship

Compensation

The projected compensation range for this position is between $27.00 to $32.00 per hour. This is a non-exempt (hourly) position. Actual compensation and starting salaries are determined based on various factors, including the education, experience, knowledge, skills, certifications, and clearance level of the candidate and internal equity. Once at The Clearing, movement through pay bands is based on performance. Base-annual salary is just one component of The Clearing's total compensation philosophy and approach. Physical and Mental Requirements

While performing duties of this job, an employee may be required to perform any, or all of the following: attend meetings in and out of the office, travel (sometimes extensively); occasional evening and weekend work may be required as job duties demand; communicate effectively (both orally and in writing); ability to effectively use computers and other electronic and standard office equipment; and occasionally exerting up to 10 pounds to lift, carry, push, pull, or otherwise move objects, including the human body. Work is primarily sedentary and involves sitting for several hours at a time. Occasionally walking, climbing stairs, and standing occur in this role. Additionally, this job requires certain mental demands, including the ability to use judgment, withstand moderate amounts of stress, and maintain attention to detail.
