YMCA International Services is a unique branch of the Y of Greater Houston and seeks to meet the needs of Houston's significant refugee and immigrant communities. We provide comprehensive programs that focus on building human assets and fostering self-sufficiency. The MG Program Specialist will be responsible for administrating the financial support and match provided to the newly arrived clients from refugees, SIVs, asylees, parolees, victims of human trafficking, and other eligible populations who are accessing to a wide range of Matching Grant program services with the goal of becoming self-sufficient.

Duties /Responsibilities

The MG Program Specialist will primarily be responsible for provision of match, financial support, and check the processing of eligible MG clients. The program specialist will assist the program director in conducting monthly reconciliations for federal dollar expenditures and in-kind donations.

Responsibilities include:


  • Follow MG program guidelines and policies
  • Support the quality assurance auditors in reviewing new files and case notes upon MG enrollment and upon every check request to ensure accuracy and compliance
  • Create new cases in MG database and RMS
  • Approve MG checks for rent, cash, utilities and any other financial assistance that will be helping the client to achieve self-sufficiency
  • Assist with recording MG program expenditures in the MG database and RMS on daily basis and ensure there is no discrepancy in the platforms
  • Record in-kind donation, volunteers' time, and any other non-case related community contribution in the MG database
  • Follow up match component for case-related community contributions and make sure each case receives match, signs MG donation form, and MG donation forms are placed in file
  • Supporting auditing case closure on timely manner
  • Follow up on Driver's Education and make sure all the expenses are entered into MG database, matches RMS, and the supporting documentations are placed in file
  • Monitor compliance with YMCA training requirements
  • Provide pick-up services from the Houston airport for newly arriving clients as assigned
  • Report suspicious and inappropriate behaviors and policy violations
  • Perform other duties as assigned including food pantry rotation

Outcomes


  • Approve 600-800 checks per month
  • Audit to ensure a 95% of MG forms and case notes are accurate as per MG guidelines
  • 100% of MG clients' match are recorded in the system
  • Maintain match documentation for a minimum of $1,000,000 annually
  • Monthly, quarterly and annual financial reconciliations must have zero difference

Requirements


  • Bachelor's in accounting work, other financial service field, or 4 years relevant professional experience required
  • Excellent written and verbal English communication skills
  • Ability to understand program policies and make informed decisions
  • An understanding of and sensitivity to other cultures is necessary
  • Ability to manage time and resources; Team player and responsible
  • Flexibility, dependability, excellent work ethic and experienced working with other cultures
  • Ability to work occasional evening or weekend hours as necessary
  • Highly self-motivated, responsive and a good trouble-shooter
  • Valid driver's license, clean driving record, automobile liability insurance, and a vehicle
