Job Summary

The Office Administrator will coordinate office activities and operations while providing clerical and administrative support to management.

Supervisory Responsibilities

Works under immediate supervision; relies on instructions and pre-established guidelines to perform functions of the job; job functions do not typically require exercising independent judgment.

Principle Duties and Responsibilities

  • Directs office activities and functions to maintain efficiency and compliance with company policies.
  • Assists clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
  • Maintains office supplies inventory.
  • Assists with accounting functions in accordance with established procedures and company policy.
  • Assists with time and attendance monitoring and submitting bonuses and hours to the payroll department on time for processing.
  • Assists with maintaining records, documentation, and files, particularly more complex or sensitive files such as employee files.
  • Completes special projects as needed.
  • Performs other related duties as assigned

Required Skills / Abilities

  • Ability to act with integrity, professionalism, and confidentiality.

  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Basic understanding of how to operate standard business equipment.
  • Proficient with Microsoft Office Suite or related software.

Education and experience

  • High school diploma or equivalent with experience in administration / accounting.
  • Minimum of one year of experience in office administration or related areas.
  • Working knowledge in the use of computer and business-related software, including Microsoft applications (Excel, Word and Outlook).
  • Working knowledge of Microsoft Reflections software preferred but not required.
  • Working knowledge of various office equipment (computer, scanner, etc.)

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
