Job Description

The Complex and Paralegal Administrator is responsible for the overall running of the Criminal Defense Practice in Staten Island including the administration, direct supervision, and training of paralegal staff, as well as the management of arraignments, data/central unit, and reception area. This role ensures all work is completed in a timely fashion, oversees paralegal performance, maintains attendance records, and assists with operational support for the office and staff, including maintaining expense reports, petty cash, leave accrual reports, and statistical reports. The Complex and Paralegal Administrator also ensures quality control of all arraignment and Law Manager data and fosters relationships with court personnel and other agencies.

ESSENTIAL DUTIES/RESPONSIBILITIES

Office Management and Administration



  • Ensure smooth and efficient operation of the offices (including the court office), coordinating all activities and managing daily tasks
  • Handle all general administrative responsibilities, including maintaining records, processing reports, and managing other administrative duties as assigned
  • Maintain Office Facilities and Equipment: Ensure that office facilities and equipment are properly maintained and functioning optimally, coordinating repairs or replacements as necessary
  • Ensure proper implementation of office procedures and policies
  • Generate and maintain reports from various database systems
  • Work closely with the Director of Paralegal Services to develop standardized training, practices and protocols across the boroughs
  • Work closely with the Discovery Unit to provide support for the Litigation Assistants
  • Monitor Paralegal II and Litigation Assistant work and caseloads
  • Participate in supervisory and management meetings
  • Assess Litigation Assistant requests received from attorneys through LawManager and assign work to Litigation Assistants based caseload and capacity



Staff Supervision and Development



  • Provide direct supervision to paralegal staff, ensuring that all work is performed efficiently and meets the required standards
  • Monitor Arraignments including Scheduling, Data Entry and Central Files Maintenance: Oversee the accuracy and completeness of arraignment data and central files, providing guidance to staff as needed
  • Assist with recruitment process, including scheduling and interviewing
  • Provide individual supervision to Litigation Assistants and Paralegal II staff



Liaison and Coordination



  • Liaise Between Internal Shared Services, IT and External Service Providers: Act as the primary point of contact between the office and both internal shared services departments and external service providers, ensuring seamless communication and service delivery
  • Participate in the examination and improvement of Internal Procedures and Systems: Collaborate with management to assess and enhance internal procedures and computer systems, implementing improvements as identified
  • Serves as a liaison between the support and legal staff
  • Provide in-service training and case consultation



Professional Development and other duties as assigned



  • Participate in continuous professional development
  • Continuously learn about forms of bias in the workplace and demonstrate affirmative behaviors that support an inclusive work environment
  • Other duties as assigned



TRAINING AND QUALIFICATIONS

Required qualifications:



  • Bachelor's degree in a relevant field
  • Prior paralegal related experience
  • Ability to work independently and collaboratively with other managers



Preferred qualifications:



  • Bachelor's of Business Administration or equivalent experience
  • Previous administrative and supervisory experience
  • Excellent interpersonal communication, organizational, and writing skills
  • Proficiency in Microsoft Office and LawManager
  • Ability to design and implement new procedures quickly and effectively
  • Ability to balance and prioritize workload and problem solving is a must
  • Excellent computer skills, including ability to use Microsoft Office 365 Suite, SharePoint, and ADP
  • Workforce Manager and other office technology (copier, fax, stamp machine)
  • Must be a self-starter

Salary Range/ Salary: $88,000- $92,000
